Brief Job Description:

Works under the direction of the CPS Regional Director with limited supervision and moderate latitude in performing highly complex technical duties. Duties involve reviewing, evaluating data, developing tracking systems and providing current information to CPS management staff. Utilizes complex automated applications and programs for information retrieval, data entry, and issuance. Provides direct assistance to all levels of staff by disseminating information via direct contact, telephone, email or correspondence. Develops, coordinates and maintains record keeping and filing systems. Trains administrative staff. Performs other duties as assigned.

Essential Job Functions:

  • Prepares, reviews, edits and disseminates various types of print and electronic correspondence, reports, forms and records.

  • Assists with compiling and entering data provided by program tracking and reporting systems.

  • Processes incoming and outgoing mail for the Regional Director.

  • Coordinates the purchases and receipt and distribution of office furniture and supplies.

  • Maintains filing and record keeping systems and serves as the regional records manager.

  • Performs liaison duties between Regional Director and region, state office and administrative staff. Tracks and coordinates various types of inquiries and administrative actions.

  • Handles inquiries and complaint calls, responds to questions, takes messages, and provides referral information to clients or staff.

  • Coordinates travel arrangements and prepares appropriate vouchers and forms.

  • Coordinates and completes special projects and assignments involving various program related activities. Performs other duties as assigned and required to maintain unit operations.

  • Promotes and demonstrates appropriate respect for cultural diversity among coworkers and all work-related contacts.

  • Attends work regularly in accordance with agency leave policy.

  • Knowledge of office practices and administrative procedures.

  • Skill in establishing and maintaining effective working relationships.

Initial Screening Criteria:

Graduation from high school or equivalent with three years recent full-time administrative support, general office, clerical, secretarial or DFPS experience.

Acceptable Substitutions

  • Ninety semester hours from an accredited college or university may be substituted on a year for year basis for the required experience

Preferred Qualifications

  • CPS experience working in an office that dealt with confidential records or documents.

  • CPS experience assisting public and/or answering customer inquiries over the phone, through personal contact, correspondence or Email.

  • CPS experience using Word, Excel, PowerPoint and windows.

  • CPS experience explaining policies and procedures, rules, or regulations.

  • CPS experience handling and maintaining files, records, or logs.

This position can be headquartered in Corpus, Laredo or Edinburg.
