The Opportunity
As a Craft Payroll Coordinator based in Castleton, NY, you will work closely with our Payroll Manager to ensure accurate, on-time payroll for our union and non-union craft workforce across multiple projects, collective bargaining agreements, and prevailing wage jurisdictions. This is a hands-on role where your attention to detail directly affects our employees' livelihoods and our company's compliance obligations.
This position is an excellent opportunity to develop specialized expertise in construction and union payroll. As you grow your knowledge of certified payroll, prevailing wage, and multi-union requirements, you will be positioned to take on more complex responsibilities and advance into a more senior payroll or accounting role over time.
What You'll Do
- Collect, review, and verify daily field timecards for accuracy, completeness, and proper coding before payroll processing.
- Process weekly payroll for union and non-union craft employees in coordination with the Payroll Manager, ensuring timely and error-free paychecks.
- Administer payroll across multiple collective bargaining agreements, applying correct rates, fringes, and union requirements for each project and classification.
- Support certified payroll reporting and prevailing wage compliance by preparing accurate reports and maintaining required documentation.
- Coordinate with superintendents and field personnel to resolve questions on hours, pay codes, corrections, and missing information.
- Maintain and organize payroll records, files, and backup documentation to support internal reviews and external audits.
- Assist the Controller with accounting-related functions during slower payroll cycles, contributing to broader accounting team needs.
- Identify and suggest improvements to payroll and recordkeeping processes to increase efficiency and reduce errors.
What to expect
- Within your first 3-6 months, you consistently process weekly craft payroll on schedule with minimal errors and a clear understanding of our projects and pay structures.
- You become a reliable point of contact for field supervisors and employees on timecard, pay code, and basic payroll questions, resolving most issues independently.
- Certified payroll and prevailing wage reports are submitted accurately and on time, with complete and well-organized supporting documentation.
- Payroll files and records are maintained in a manner that allows audits and reporting requests to be handled efficiently and confidently.
What We're Looking For
- Strong attention to detail and a commitment to accuracy when working with numbers, timecards, and employee data.
- Proficiency with Microsoft Office and general computer skills, with the ability to learn construction payroll software quickly.
- Organized, clear communicator who can follow structured processes and collaborate effectively with both office and field personnel.
- Ability to work independently and as part of a small, collaborative team in a fast-paced, deadline-driven environment.
- Associates degree or equivalent, with 1-3 years of payroll, accounting, administrative, or related office experience preferred.
- Familiarity with union payroll, prevailing wage, collective bargaining agreements, or construction industry experience is a plus.
Compensation and Benefits
- $55,000-$64,000 annually, depending on experience
