JOB DESCRIPTION:
The Creative Assistant plays a dual role - serving as both executive administrative support and creative collaborator to the President & CEO, who also leads as the company’s Creative Director.
This position is ideal for a highly organized, creatively driven individual with exceptional attention to detail, strong design sensibility, and a passion for live event production.
You will act as a force multiplier for the Creative Director helping manage day-to-day executive priorities while contributing to the development, execution, and coordination of creative work across the company. This role sits at the intersection of creativity, operations, and communication, supporting internal teams and client-facing initiatives.
RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:
Administrative Support
- Serve as the primary point of contact and gatekeeper for the President & CEO, managing communications, scheduling, and correspondence, including monitoring email, Microsoft Teams, and Asana tasks.
- Coordinate meetings, creative reviews, travel logistics, and event attendance.
- Prepare meeting agendas, capture notes, and track follow-up actions.
- Proactively anticipate the needs of the President & CEO to optimize time, focus, and creative output.
- Assist in prioritizing incoming requests and managing competing demands.
- Maintain discretion and confidentiality on all executive and client matters.
Creative Production Support
- Assist in concepting and visualizing creative ideas for live events, video content, and branded experiences.
- Develop presentation decks, storyboards, and visual mockups that communicate creative vision.
- Execute smaller-scale creative projects from concept through delivery under the direction of the Creative Director.
- Assist in reviewing, proofing, and refining creative content prior to client delivery.
- Help ensure brand consistency across all creative outputs (internal and client-facing).
- Source imagery, music, and design references to support creative development.
Creative Operations & Workflow Organization
- Help maintain and improve creative workflows, file organization, and asset management systems.
- Support the development of templates, toolkits, and repeatable creative processes.
- Track creative deliverables and ensure deadlines and expectations are met.
Cross-Department Coordination
- Act as a liaison between the Creative Director and internal teams (Production, Service, Event Technology/Ops, Communications, and Biz Dev).
- Help ensure alignment on creative direction, priorities, and deliverables across departments.
- Communicate updates, timelines, and key information to relevant stakeholders.
Client & Presentation Support
- Assist in preparing client-facing presentations and pitch materials.
- Support creative walkthroughs and internal reviews.
- Capture client feedback and help translate it into actionable creative revisions.
Event & Onsite Support
- Provide on-site creative support during live events, including content management and visual execution.
- Assist with show flow, content tracking, and run-of-show alignment.
- Support preparation of show content packages (presentations, videos, playback assets).
- Help ensure brand consistency and creative integrity during execution.
Post-Event & Continuous Improvement
- Assist in post-event debriefs by gathering notes, feedback, and improvement opportunities.
- Help document lessons learned and best practices for future projects.
Industry Awareness & Creative Growth
- Stay current on trends in live events, design, and media production.
- Bring fresh ideas, inspiration, and creative references to the team.
REQUIRED SKILLS/EXPERIENCE:
- Bachelor’s degree in Graphic Design, Media Production, Communications, or related field, or equivalent experience.
- 2+ years of experience in a creative, agency, or event production environment.
- Proficiency in Microsoft Office and Adobe Creative Suite (Photoshop, Illustrator, Premiere Pro, After Effects preferred).
- Strong organizational and project management skills with the ability to handle multiple priorities.
- Excellent written, verbal, and interpersonal communication skills.
- High attention to detail, professionalism, and discretion.
- Passion for storytelling, branding, and creative experiences.

EDUCATION:
Bachelor’s Degree or equivalent experience preferred.
TIME COMMITMENT:
Monday through Friday, 9:00 AM – 6:00 PM.
Some nights, weekends, and travel may be required based on event schedules.
