Creative Operations Administrative Coordinator to join their Creative Operations team. This is a great opportunity for a highly organized, detail-driven administrative professional who wants hands-on exposure to creative production and project coordination at a recognizable consumer brand.
Salary/Hourly Rate: $30/hr, plus Benefits
Position Overview: The Creative Operations Administrative Coordinator provides administrative and project-tracking support for a fast-paced Creative Operations team. In this role, you'll keep artwork routing and comp requests moving on schedule, maintain accurate status records, and support the Sr. Manager of Creative Operations with day-to-day administrative needs. Our client is looking for a true admin at heart - someone who thrives on tracking details, keeping files and logs current, and making sure nothing falls through the cracks. As the team grows, there's room to take on additional project coordination responsibilities. This is a temporary role that will be evaluated every 3 months, with potential extension and conversion to permanent.
Responsibilities of the Creative Operations Administrative Coordinator:- Artwork Routing (Administrative Tracking):
- Administer day-to-day routing of mechanical artwork through the team's production routing system - setting up files, logging status updates, and keeping records current for every active program.
- Route files to the correct approvers on schedule, flagging delays or holds before they impact deadlines.
- Maintain the production status tracker as the team's single source of truth.
- Comp Management (Administrative Coordination):
- Coordinate the comp request process end-to-end: logging intake requests, scheduling production, and confirming delivery to requesting teams.
- Track and document turnaround times; send status updates directly to requestors.
- Compile turnaround data and estimates for budgeting purposes.
- Project & Administrative Support:
- Provide dedicated administrative support to the Senior Manager, Creative Operations - maintaining trackers, updating timelines, scheduling, and handling day-to-day paperwork.
- Organize, file, and maintain project assets, records, and archives.
- Prepare status summaries and documentation for meetings and stakeholders.
- Attend the Weekly Team Status Meeting, coming prepared with up-to-date routing and comp status.
Required Experience/Skills for the Creative Operations Administrative Coordinator:- Strong administrative and organizational skills, with comfort owning recurring tracking/reporting tasks.
- Basic understanding of print production and mechanical artwork (or willingness to learn quickly)
- Familiarity with digital project management/routing/filing tools (e.g., artwork routing systems, Smartsheet, BrandFolder, Asana)
- Highly proficient in MS Office/365, especially Excel and Outlook calendar management.
- Excellent attention to detail and problem-solving skills.
- Strong prioritization skills and the ability to manage competing deadlines.
- A professional, collaborative communicator who can work across many internal teams and vendors.
- Someone reliable and proactive, who takes ownership of their work and doesn't need heavy follow-up to stay on track.
Preferred Experience/Skills for the Creative Operations Administrative Coordinator:- 1+ years of experience in an administrative, coordinator, or project-support role - artwork routing, production coordination, print production, or similar is strongly preferred.
- Familiarity with Adobe Creative Cloud is a plus.
Education Requirements:- Bachelor's degree in a related field is required.
