Job Title: Creative Project Coordinator
Location: Bolingbrook, IL (Hybrid)
Job Type: Contract | 6+ Months (Possible Extension)

Schedule:

  • Day Shift
  • Hours: 8:00 AM – 5:00 PM
  • Hybrid Work Model | Periodic Onsite Presence Required

Position Overview:

We are seeking a highly organized and detail-oriented Creative Project Coordinator to support the execution and delivery of creative and marketing initiatives across multiple media channels. This role will coordinate project workflows, manage timelines, facilitate communication between teams, and help ensure creative deliverables are completed efficiently and on schedule. The ideal candidate thrives in a fast-paced environment and possesses strong organizational, communication, and project coordination skills.

Responsibilities:

Creative Operations & Project Execution:

  • Support end-to-end creative project workflows including intake, briefing, scheduling, and delivery tracking
  • Gather project requirements and identify potential gaps, risks, or timeline concerns
  • Maintain project timelines, status reports, and workflow documentation
  • Ensure projects move efficiently through all stages of the creative lifecycle
  • Monitor project progress and assist in meeting deadlines and deliverable expectations

Workflow, Communication & Coordination:

  • Coordinate communication between creative teams, stakeholders, and external partners
  • Organize meetings, project reviews, status updates, and team stand-ups
  • Document meeting notes, action items, and follow-up tasks
  • Escalate project risks, delays, or resource conflicts when necessary
  • Support cross-functional collaboration to ensure smooth project execution

Tools, Systems & Reporting:

  • Maintain accurate project tracking within project management platforms such as Workfront and Monday.com
  • Assist with workflow optimization, process improvements, and template management
  • Organize and maintain creative documentation, files, and project resources
  • Generate reports and updates related to project status and deliverables

Collaboration & Team Support:

  • Partner with creative, design, and production teams to support project delivery
  • Collaborate with strategy, sales, and account management teams on marketing initiatives
  • Contribute to a collaborative and solution-oriented work environment
  • Support operational efficiency and continuous improvement initiatives

Qualifications:

  • Bachelor’s Degree in Marketing, Design, Business, Project Management, or related field preferred
  • Equivalent professional experience may be considered
  • 2–4+ years of experience in creative operations, project coordination, or project management roles required
  • Experience supporting creative, marketing, agency, or media teams preferred
  • Strong organizational, multitasking, and time management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple projects in a fast-paced environment

Technical Skills:

  • Proficiency with project management tools such as Workfront and Monday.com
  • Familiarity with creative collaboration tools such as Figma preferred
  • Strong Microsoft Office and PowerPoint skills required
  • Understanding of digital media channels including social, video, onsite, and offsite media preferred
