ABOUT THE JOB
The Tepa Companies are seeking a Creative Services & Executive Coordinator to provide enterprise-wide creative services while supporting executive leadership through high-level administrative coordination and project support. This role develops professional visual materials that strengthen Tepa's brand identity and supports leadership by coordinating executive initiatives and Board of Directors' meeting materials, as well as travel logistics and company events as necessary. Working closely with executive leadership and other departments, this position serves as Tepa's primary creative services resource while ensuring executive priorities and special projects are effectively coordinated.
Job Functions:
Creative Services
Design, develop, and produce high-quality print and digital creative concepts and visual solutions, including marketing collateral, proposal graphics, presentations, signage, infographics, illustrations, and other branded materials that effectively support Tepa's business objectives, brand identity, and stakeholder requirements.
Utilize Adobe Creative Suite and other design software to create and modify graphics and multimedia content.
Edit and optimize photographs, graphics, and images for a variety of media, including print and digital platforms, while maintaining quality and usability.
Develop layouts that present information in a clear, organized, and visually appealing manner.
Present design concepts to internal stakeholders and incorporate feedback into final deliverables.
Manage multiple creative projects simultaneously while meeting deadlines and maintaining quality standards.
Maintain organized project files and creative assets to support efficient retrieval, version control, and future use.
Brand Stewardship
Maintain and promote consistency of Tepa's visual identity by applying established brand standards across all company materials and updating existing assets as organizational needs evolve.
Develop, maintain, and enhance Tepa's visual identity system, including logos, joint venture logos, templates, brand standards, and style guidelines.
Review visual materials created by others and provide creative guidance to ensure adherence to established branding standards.
Provide recommendations regarding branded promotional items, apparel, signage, office graphics, and related visual materials.
Coordinate with external vendors to ensure accurate production of branded materials by providing appropriate artwork and specifications.
Executive Coordination
Assist with preparation and organization of Board of Directors' meeting agendas, presentations, supporting materials, and meeting packets.
Coordinate formatting, organization, and production of executive presentations and supporting documentation.
Provide travel planning and logistical support for executive leadership, including meeting coordination, itineraries, and related arrangements.
Assist in planning and coordinating executive meetings, leadership retreats, company meetings, and other organization-wide events.
Maintain organized executive files and project documentation.
Exercise sound judgment and maintain strict confidentiality when handling executive, Board, personnel, and other sensitive business information.
Provide executive support for projects and special initiatives as needed or as assigned by the Chief Executive Officer.
WHAT WE'RE LOOKING FOR
Bachelor's degree in graphic design, visual communications, or a related field or 4+ years of graphic design experience
3+ years of progressively responsible experience in graphic design, creative services, executive support, or a related field.
Knowledge, Skills, and Abilities:
Advanced proficiency in graphic design software, particularly Adobe Creative Suite (Photoshop, Illustrator, InDesign), and a solid understanding of design principles and composition.
Proficiency with Microsoft Office applications, including PowerPoint, Word, Excel, and SharePoint.
Demonstrated ability to develop design concepts and solutions that align with project objectives.
Meticulous attention to detail.
Excellent organizational and project management skills with the ability to manage multiple priorities simultaneously and meet deadlines in a fast-paced work environment.
Excellent written, verbal, and visual communication skills.
High degree of professionalism, discretion, and sound judgment when supporting executive leadership.
Ability to maintain confidentiality and handle sensitive information appropriately.
Willingness to adapt to changing project requirements and be open to receiving constructive feedback.
Strong customer service orientation and the ability to build productive working relationships across all levels of the organization.
