SUMMARY:
This position provides administrative support of the day-to-day operations of the human resources functions and duties. The Credentialing and HR Assistant carries out responsibilities in the following functional areas: credentialing, recruitment, hiring and orientation, benefits administration, training, performance evaluation, and recordkeeping . Credentialing and HR Assistant shall perform duties based on APHCV's policies and procedures.
APHCV expects all employees to participate in APHCV's emergency response operations per our emergency policies and procedures.
APHCV requires all staff to comply with Standards of Conduct and Compliance Program related policies and procedures. Such compliance is part of this position's performance evaluation.
DUTIES AND RESPONSIBILITIES:
Credentialing and Privileging
Review Exclusions report in credentialing system (CredentialStream), report any red flags, if any, and update records every 3rd Friday of the month
Monitor and update, as needed, in credentialing system (CredentialStream) workforce's licenses, certifications and/or health record in the system
Upload new workforce information in from HR systems into credentialing system (CredentialStream) every 10th of the month
Update workforce's status in credentialing system (CrednetialStream) from Active to In-Active as soon as they leave or being terminated
Enroll staff to CPR certification training/re-training and update their CPR certification in credentialing system (CredentialStream)
Update by either enrolling or terminating, as needed, provider(s) in Walgreens 340B Portal
Run Walgreens 340B Prescriber report and save it in HR shared drive and in Nursing Triage Hub collaboration page every 3rd Friday of the month.
Conduct SAM debarment check for all staff every month with proper documentation and provide a report to Credentialing and HR Coordinator
Recruitment, Hiring and Orientation
Place job ads in recruitment sites as agreed upon with HR Manager, Credentialing and HR Coordinator and hiring supervisor/manager.
Communicate on-boarding and credentialing (if applicable) requirements and conducting reference check
Administer general and job-specific tests for applicants.
Organize and arrange interview for applicants, as needed.
Ensure that job description is maintained by performing quarterly checks to verify all employees have an updated job description in HR system (Paycom) .
Follow-up with managers and supervisors on the completion of staff introductory evaluation. Ensure that introductory evaluations are completed within 3 to 6 months of employee start date.
Benefits Administration
Verify insurance invoices to ensure accurate billing and process payment promptly
Monitor modifications to benefit by enrolling or terminating workforce insurance based on their elections both in HR system (Paycom) and insurance providers and submit report to Credentialing and HR Coordinator (Specialist) and HR Manager.
Assist with open enrollment activities for all insurances
Communicate when vacation and PTO accruals for staff are maxed out and provide information to staff and supervisor.
Administer commuter incentive implementation such as travel, training and work from home expense reimbursements, carpool incentives, refer-a-friend recruitment fees, time-off benefit cash out requests, etc.
Training
Maintains training sign-in sheets (google), training acknowledgement forms (Paycom), post-test files and grading (Paycom), training schedule and venue reservation.
Assign training acknowledgement forms in HR system (Paycom) to all workforce right after all staff meetings
HR helpdesk
In-charge of responding to HR tickets when HR Generalist and Credentialing and HR Coordinator are not available.
Generate report once a month and present at HR monthly meeting.
Recordkeeping
File and organize HR related contracts with both internal and external vendors, in digital formats
Maintain workforce records and filing system in digital format both in HR system (Paycom) and cloud storage (Laserfiche)
Maintain workforce data integrity in HR system (Paycom) in order to generate accurate reports.
Ensure that workforce emergency contact list is maintained and updated on a quarterly basis both in HR system (Paycom) and emergency communication system (Everbridge)
Ensure that required forms and attestations assigned through HR system (Paycom) are completed by all workforce regularly, e.g. bi-annual TB symptom survey, annual Conflict of Interest forms, etc.
Ensure that workforce vehicle information is updated in HR system (Paycom) and report is generated that is shared with Facility Department quarterly
Regularly review and ensure that all updated HR-related forms are accessible to all workforce in fillable PDF formats, available through HR system (Paycom) and in internal site (The Hub)
Provide assistance with audits as they relate to HR Department's documents and records.
Maintain incident report files and develop report to be presented by HR Manager in TQM.
Maintain 401(k) Committee Page in The Hub containing 401(k) compliance meeting minutes and staff inquiries regarding 401(k) together with HR responses.
Update 401K participants information in Fidelity website, e.g. address, etc.
Ensure that all job description in the HR Collaboration page in The Hub contains all employee's current job description.
Other Duties
Draft Credentialing and HR related policies and procedures, as needed.
Other duties as assigned by Credentialing and HR Coordinator, HR Generalist and HR Manager.
Order lab coats and business cards as requested
Prepare, review and process Credentialing and HR related invoices for payment and mail out checks when ready
Minimum of Associates degree or two-year experience in Human Resources or administrative function
Experience in handling confidential information with appropriate diligence
Possess professionally acceptable written and verbal communication skills
Must take initiative and be self-directed
Demonstrated ability to adapt to rapidly changing priorities
Organizational and detail skills
High energy level and ability to work in a team environment
Ability to work in a fast paced environment under pressures and strict deadline
Ability to prioritize work well focusing on task that needs to be done timely.
Working knowledge of Microsoft Office applications (specially Word, Excel and PowerPoint)
