Job Summary:
The CRM Records Specialist supports data standards, data integrity, and database management of the South Carolina Aquarium's CRM system (currently Altru), including ticketing, fundraising, and membership functions. The position performs routine data maintenance while contributing to documentation, data governance practices, and system readiness efforts in preparation for future CRM or systems transition initiatives.
This role works closely with the Business Intelligence Team to ensure accurate, consistent, and reliable constituent data that supports daily operations and organizational reporting. The CRM Records Specialist collaborates across departments to support the adoption of data standards, improve data quality, and help prepare for evolving technology and integration needs. This part-time role is structured to support current operational needs while providing a foundation for expanded responsibilities aligned with future system implementation and data strategy efforts.
Essential Functions:
- Adhere to the South Carolina Aquarium Policies & Procedures.
- Work across functional areas to ensure access to consistent, timely and accurate data.
- Routinely review data in the system, manage duplicates and enforce data standards in line with policy and procedure.
- Support ongoing CRM data integrity efforts through regular audits, validation checks, and adherence to established data governance standards.
- Assist in documenting data processes, field definitions, and business rules to support future system migration or reimplementation efforts.
- Partner with internal stakeholders to identify data gaps, inconsistencies, and opportunities for standardization across systems.
- Contribute to data preparation activities associated with future integrations, including data cleanup, normalization, and structure alignment.
- Support testing, validation, and user adoption efforts for new CRM functionality or system changes as needed.
- Maintain awareness of evolving organizational data needs and technology changes to support scalable system design and sustainability.

- Supports the mission of the Aquarium by participating in sponsored programs and events.

- Prior experience with data entry, data standards and data management.

- Ability to perform multiple tasks with a need to occasionally upgrade skills in order to meet evolving job responsibilities.
- Ability to function independently while maintaining clear communication with Business Intelligence Team and individuals in other divisions, as appropriate.

- Ability to support data integrity initiatives and contribute to system transition readiness, including data cleanup, documentation, and alignment with evolving CRM and integration strategies.
Education and Experience Required:
- Bachelor's Degree in appropriate field of study or equivalent work experience.
- Experience in a non-profit and/or guest services environment preferred.
- Experience in data entry and data management.
- Experience with business applications (ticketing, CRMs, Blackbaud software, etc.) preferred; Altru experience desirable.
