POSITION OBJECTIVE:
This position contributes to the overall success of the company and supports business operations by ensuring timeliness and accuracy of the customer database. Initialize all incoming mail, internet and facsimile orders and perform customer account maintenance in multiple paneled PeopleSoft system environment.
Work Schedule: Monday- Friday 9:00AM-6:00PM
Position Responsibilities Include:
- Setup new customer account records in PeopleSoft system by determining mailable addresses, classification and taxation using reference materials and customer information on order and entering relevant customer account information.
- Determine by classification if eligible for automatic credit limit, and set-up in system.
- Locate pre-existing customer account records in PeopleSoft system for incoming orders utilizing customer information.
- Manage inbound/outbound calls via ACD line.
- Manage inbound inquiries via HubSpot.
- Verify and enter orders. Process special order types (Key Account, web based, and Gryphon House)
- Review, edit, and research special instructions or missing data from orders.
- Run queries.
- Manage Pending Orders.
- Manage special grant website orders.
- Assist Playground Department on orders retrieved with partial Kaplan items and Playground items.
- Assist customers with questions regarding orders or missing account information.
- Interact with internal/external departments regarding receipt of orders.
- Assist My Kaplan Platinum Team with set ups for My Kaplan Platinum customers.
- Manage account maintenance (tax update in vertex panel, addresses, account names, backdating accounts, hard code carrier request, eliminate duplicate accounts, classifications, suppress catalog mailings, inactivate accounts, territory codes etc.).
- Work rotating assignments to manage paperwork day (department voice mails, emails, account maintenance and tax maintenance.
Position Requirements Include:
- High school diploma or equivalent required.
- Must be detail oriented and organized with the flexibility to work independently or collaboratively in team environment with multiple interruptions.
- Possess good customer service orientation and effective communication skills to interact with internal and external customers.
- Requires computer literacy in Windows environment, Microsoft Office (Outlook, Word & Excel) and strong 10-key skills.
- Good internet research skills and ability to effectively multi-task required.
- Ability to work on departmental projects.
- Must be available for flexible scheduling.
- Call center experience, a plus.
- HubSpot experience, a plus.
