Customer Service & Billing Coordinator

About the Role

We are seeking a friendly, organized, and detail-oriented Customer Service Representative with Billing Experience to join our team. This position combines customer support responsibilities with billing and quoting functions. The ideal candidate enjoys helping customers, resolving issues, and ensuring invoices and account records are accurate and up to date.

This is an excellent opportunity for someone with strong customer service skills and experience in billing, invoicing, or accounts receivable.

Responsibilities

• Serve as the primary point of contact for customer inquiries via phone and email
• Prepare and process customer invoices accurately and timely
• Verify pricing, freight charges, taxes, and billing information
• Apply customer payments and maintain account records
• Monitor accounts receivable aging and follow up on outstanding balances
• Assist with collections in a professional and customer-focused manner
• Research and resolve customer billing discrepancies
• Coordinate with operations, sales, and production teams to address customer concerns
• Support month-end billing deadlines and reporting requirements
• Maintain accurate customer files and documentation
• Provide exceptional customer service while building positive client relationships

Qualifications

• 2+ years of customer service, billing, or administrative experience
• Strong communication and interpersonal skills
• Proficiency in Microsoft Office, particularly Excel
• Experience with BuildOps, ServiceTitan, Sage, QuickBooks, or similar systems preferred
• Excellent attention to detail and organizational skills
• Ability to multitask and work independently in a fast-paced environment

Preferred Experience

• Manufacturing, service, construction, HVAC, plumbing, or industrial businesses
• Billing and invoicing
• Customer account reconciliation
