Description

SUMMARY

Responsible for answering and redirecting phone calls received in the Parts Department. Supports the parts department by processing receipts and allocating parts to respective customer orders and prepares documentation for shipping purposes.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Answer and redirect telephone calls to the appropriate analyst for processing.
  • Process domestic receipts and import shipments from vendors which may include ship-directs and drop shipments as needed throughout the day.
  • Prepare paperwork/documentation for items received at our warehouse for various divisions at MMUSA which includes print picking tickets and labels for various order types.
  • Assist customers with routine questions on orders, invoices and proof of delivery.
  • Assist with accurately maintaining databases. (Great Plains & SAP)
  • Assist with monitoring import shipments for clearance or delivery delays.
  • Monitor back-ordered items for product delays and missed deliveries.
  • Perform additional duties assigned by management.
Qualifications

EDUCATION AND/OR EXPERIENCE

Associate degree (A.A.) or equivalent from two-year College or technical school; two to three years related experience working in a parts department or manufacturing environment and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY

Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

OTHER SKILLS AND ABILITIES

  • Experience with Microsoft Office: Word, Excel, and Access.
  • Knowledge of import/export shipping/receiving procedures.
  • Knowledge of basic office equipment such as calculator, fax machine, copier, and telephone.
  • Ability to work with various computer software applicable to billing function.
