Customer Service Operations Associate (Filing Manager)

The Customer Service Operations Associate (CSOA) – Filing Manager is a member of the Account Services Department within the Business Licensing team and is responsible for preparing, submitting, renewing, amending, and closing business licenses and registrations on behalf of clients. This role requires exceptional attention to detail, strong organizational skills, and the ability to manage a high volume of work in a fast-paced, client-focused environment.

Responsibilities:

  • Prepare and file standard, advanced, and specialized business license applications and renewals across a variety of clients and industries.

  • Process approximately 50–100 applications per week, depending on complexity.

  • Partner with Account Managers to ensure timely fulfillment of pending filing requests and resolve barriers to licensure.

  • Maintain accurate records and documentation within internal databases and systems.

  • Communicate updates to filing requirements and licensing processes to appropriate internal teams.

  • Collaborate effectively within a cross-functional and team-oriented environment.

  • Prioritize multiple assignments while maintaining a high level of accuracy and attention to detail.

  • Ensure all filings are completed in accordance with established timelines and quality standards.

Qualifications:

  • High school diploma or equivalent required; Bachelor's degree preferred.

  • Minimum of 2 years of customer service, client support, or application processing experience.

  • Strong experience with administrative support, document management, data entry, or compliance-related work.

  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

  • Excellent written and verbal communication skills.

  • Strong analytical, problem-solving, and decision-making abilities.

  • Demonstrated ability to prioritize, multitask, and work independently in a deadline-driven environment.

Preferred Experience:

  • Business licensing or registration experience.

  • Experience in legal, compliance, financial services, insurance, or other document-intensive industries.

  • Familiarity with internal databases, case management systems, or workflow management tools.

They possess strong customer service skills, can manage competing priorities effectively, and enjoy working collaboratively to support clients and internal stakeholders.
