About the Role:

Position Summary

The Customer Service Representative is responsible for overseeing the entire export order process, from order entry to shipment to customers, including but not limited to order management, shipment coordination, product and documents preparation, communication to customers and ensuring the process complies with relevant trade regulations and customs requirements.

Essential Duties and Responsibilities

• Acts as the primary contact for assigned accounts (Export and Domestic markets), responsible for receipt and confirmation of customer orders which involves researching material availability, available price record confirmation, shipping method and relevant Customer Service reporting activities/Client portal information communication and retrieval to include order management and invoicing activities.
• Coordinates with Sales, Customers, Planning, Logistics, Finance, and other relevant departments and parties (e.g. South Carolina Chamber of Commerce) to ensure smooth order fulfillment, prompt documents preparation and submission.
• Prepares, reviews and submits Export documentation to customers, including invoices, packing lists, certificates of origin, certificates of analysis and shipping documents to ensure compliance with regulations and requirements of importing countries.
• Works with Finance to gather necessary information to complete credits, debits, letters of credit, consignment and any special billing in a timely manner.
• Enters customer complaints and ensures follow-up is provided to the customer either formally or informally as required. Coordinates communication with Sales and Quality.
• Facilitates COR2 issue resolution with Planning, Logistics, Quality and Sales to ensure smooth order fulfillment.
• Provides support to colleagues as required.
• Acts as back-up when needed

About You:

Required Qualifications:

• High School Diploma / GED required. College degree preferred.
• Minimum of 3 years of Customer Service experience within a manufacturing or distribution center environment.
• 3+ years of proven experience in Export Order Management.
• Fluent Bilingual (Spanish/English) skills both written and verbal is required.
• Experience with Logistics is highly desired and will be prioritized.
• Proficiency with Microsoft Office, with emphasis on Word and Excel.
• Must have experience working with an ERP system (i.e. SAP, Oracle, etc.) and/or a CRM system (i.e. C4C, Salesforce, etc.) that includes order management. SAP knowledge is strongly preferred but not required.
• Excellent communication skills both verbal and written are essential.
• Strong knowledge of export regulations, customs procedures, and international shipping documentation.
• Familiarity with Incoterms.
• Self motivated individual with strong problem-solving skills.
• Ability to effectively multitask in a fast-paced environment and effectively prioritize under pressure.
• Strong organizational skills and ability to follow through with multiple projects.
• Ability to deal with conflict and able to influence across functional lines.
• Experience doing data entry as you are talking to customers is a huge plus.
• Experience cultivating relationships and collaborating cross-functionally with other departments is key to this role.
• Experience working with freight forwarders and customs brokers is a plus.
• Certification in export compliance or logistics management is desirable.
