Position Summary:

The Customer Service Representative serves as the first point of contact for Harcros, supporting both internal and external customers through various communication channels including email, phone, mail, web portals, and in-person interactions. The position focuses on delivering efficient customer service while managing order processing and communication, acting as a key liaison between customers, suppliers, and internal departments to ensure smooth operations and timely fulfillment of requests.

Key Responsibilities:

  • Handle a high volume of emails, phone calls, and sales order processing.
  • Act as a liaison between customers and internal/external stakeholders.
  • Process customer orders for materials or merchandise.
  • Communicate with customers and suppliers via email, phone, and web portals.
  • Perform general office duties (filing, ordering supplies, mail handling).
  • Enter orders into systems, check inventory, generate shipping documents, and verify customer credit.
  • Provide order status updates to customers.
  • Serve as point of contact for customers, suppliers, warehouse, shipping, and freight carriers.
  • Ensure order accuracy and attach required documentation.
  • Prepare and process invoices and credit memos; assist with credit/payment checks.
  • Process vendor invoices, freight bills, returns, and claims.
  • Maintain documentation/signature files for customer order releases.
  • Schedule product production as needed.
  • Coordinate shipments to branch locations and customers.

Qualifications:

                Required

  • High school diploma or GED.
  • 1–3 years of related experience or equivalent combination of education and experience.
  • Strong communication skills (written and verbal).
  • Basic math skills (percentages, discounts, algebra concepts).
  • Ability to problem-solve and interpret instructions.
  • Proficiency with computers and office software.
  • Ability to operate standard office equipment.
