What We Are Looking For (Overview):

The Customer Service Representative performs a critical operational support role within a terminal facility. This position is responsible for coordinating customer orders, shipment documentation, inventory and custody transfer data, and system reporting related to product movements by truck, rail, and marine vessel.

This is not a call-center position. The role requires frequent interaction with terminal operations, rail and marine teams, inspectors, surveyors, and customers to ensure accurate product movement, documentation, and billing. 

 

What You Will Do (Responsibilities):

Customer Interaction & Order Support

  • Interact with assigned customers, surveyors, inspectors, rail partners, and internal teams regarding orders, product movements, and documentation.
  • Provide customer account information, shipment status, inventory data, and general terminal-related support in response to inquiries.
  • Maintain all customer paperwork and ensure documentation is complete, accurate, and current.

Terminal Operations & Coordination

  • Coordinate with operations, scheduling, measurement, inspectors, and customers to reconcile custody transfer volumes.
  • Support inbound and outbound movements for tank trucks, railcars, marine vessels (barges/ships), and drums.
  • Confirm barge and vessel figures with surveyors to ensure accuracy of custody transfer and billing volumes.
  • Generate plant operating orders as required.

System Management & Inventory Control

  • Accurately maintain and update the Galahad system, including:
    • Input and confirmation of inbound and outbound movements
    • Identification and documentation of gains and losses
    • Entry of gauges and operational data
    • Running reports and responding to internal and customer data requests
  • Utilize inventory system knowledge to respond to customer and management inquiries, report requests, and throughput analyses.

 

Documentation, Reporting & Billing Support

  • Generate Bills of Lading (BOLs) for truck activity and distribute daily truck rack BOLs to operations.
  • Prepare and send out daily truck and Marine Schedules for Operations to view

  • Distribute daily truck rack weight tickets to customers.
  • Review daily customer truck rack activity and distribute daily customer reports.
  • Calculate daily customer inventories and respond to inventory-related questions.
  • Complete month-end close activities to provide accurate and timely information for:
    • Accounting and billing purposes
    • Customer month-end reconciliation and reporting
  • Respond to requests for product throughput analysis from customers and internal departments.

 

Records Management & Administrative Support

  • Ensure all reports, records, and documentation are organized, accurate, and audit-ready.
  • Perform general office duties as needed, including typing, filing, faxing, and mail sorting.

 

After-Hours & On-Call Responsibilities

  • Participate in an on-call rotation approximately once every nine (9) weeks.
  • Provide occasional after-hours operational support for assigned customers; coordinate coverage with assigned backup CSRs
What You Need (Qualifications):

Education:

  • High school diploma or general education degree (GED).

Required Qualifications:

  • Prior experience in customer service.
  • Proficient in Microsoft applications (Explorer, Outlook, Office, Excel, Word, and Power Point).
  • Customer orientated and able to work in a team environment.
  • Must pass and complete Safety training and any required Kinder Morgan site specific safety training as required by customers to work in their facilities and as required by all Kinder Morgan, Inc. locations.
  • Must obtain and/or meet all requirements to obtain and maintain a Transportation Workers Identification Card (TWIC).
  • Communicate effectively by email, phone, fax and onsite meetings.
  • Maintain current and up to date files.
  • Must be detail-oriented with the ability to multi-task, able to properly set priorities, and use time efficiently.

Preferred Knowledge and Skills:

  • Experience in terminal operations, logistics, transportation, rail, marine, or industrial environments.
  • Familiarity with order management or terminal operating systems (e.g., SAP, Galahad).
  • Strong attention to detail and accuracy in data entry, reporting, and documentation.
  • Ability to manage multiple operational priorities and tight deadlines.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively in a safety-sensitive, industrial environment.
