FULL DESCRIPTION: The Customer Service Representative communicates with clients regarding the billing and invoices for purchase orders, and delivery dates.
The selected candidate will be responsible for:
- Confer with customers by telephone, email or in person to provide information about order, order updates and other services we provide. Receives purchase orders from clients and enters orders. Communicates with client on cancelled orders, changes to orders, complaints, and billing.
- Check to ensure that appropriate changes were made to resolve customers' concerns or product delays.
- Keep records of customer interactions or transactions, recording details of inquiries, complaints, or comments, as well as actions taken.
- Resolve customers' service or billing concerns, researching issues and presenting solutions for Accounting.
- Follow up on accounts receivable, ensuring payments are received on time and following up on overdue payments while keeping A/R past due accounts to a minimum.
- Complete forms for shipping, prepare change of address records, and other data entry or required documentation using company software systems such as Genius ERP and HASP (client systems).
- Updating spreadsheets such as company backlog of orders
- Provide reports to Accounting regarding orders and billing status.
The selected candidate will also possess:
Education
- High School Diploma required. Degree in Business or Accounting preferred, but not required.
Professional Experience
- Three years of work experience in customer service, purchasing, or accounts receivable required, in a manufacturing environment preferred. Three years in an office environment required.
Special Qualifications, Knowledge, and Skills
- Advanced Microsoft Office (Word, Excel, Outlook)
- Proficiency in MRP, ERP or CRM systems. Database user interface and query software.
- Willing to work as a team
- Strong customer service skills and ability to develop strong relationships. Knowledge of principles and processes for providing customer service. This includes meeting quality standards for services, and evaluation of customer satisfaction.

- People skills required to interact with customers and internal personnel via email, phone or in person.

- Meticulous accuracy and conscientious. Ability to read, sort, check, count and verify numbers.
- Strong organizational, planning, and critical thinking skills
- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar for business communication.
- Knowledge of administrative and office procedures and systems such as MS Office, managing shared files and records, designing forms and workplace terminology.
