Arkansas Talent Group is partnering with a leading organization to identify a detail-oriented Customer Service Specialist. This role is essential to keeping projects on track, supporting team operations, and ensuring accurate and timely billing.

You will serve as the administrative backbone for project teams, coordinating documentation, tracking deliverables, and working closely with finance to manage invoicing and payment cycles.

Key Responsibilities

Project Administration

  • Maintain and organize all project documentation, including contracts, change orders, and compliance records.
  • Support project managers with scheduling, progress tracking, and status reporting.
  • Coordinate internal and external communications related to project logistics and procurement.
  • Ensure all project files are accurate, complete, and audit-ready.

Administrative Support

  • Prepare project correspondence, reports, and meeting materials.
  • Act as the primary point of contact for project-related questions from clients, vendors, and team members.
  • Assist with onboarding new team members and maintaining team directories.
  • Uphold company policies and standard operating procedures in all administrative tasks.

Billing & Financial Coordination

  • Draft and submit client invoices following project-specific billing guidelines.
  • Gather and verify supporting documentation for invoicing, including subcontractor agreements and delivery confirmations.
  • Partner with the accounting team to ensure accurate and timely billing and payment processing.
  • Track unbilled items, monitor project billing milestones, and support cash collection activities.
  • Maintain organized billing folders and financial records for all assigned projects.

Qualifications

  • Bachelor's degree in business administration, finance, accounting, or related field (or equivalent experience).
  • 3–5 years of experience in project administration, billing, or accounting support.
  • Advanced proficiency in Microsoft Office (especially Excel) and familiarity with project management or accounting software.
  • Strong organizational, communication, and multitasking skills.
  • High attention to detail and ability to manage large volumes of data accurately.
  • Foundational understanding of accounting principles and billing workflows.
