We are seeking a highly organized and detail-oriented Data Entry Administrative Clerk to join our remote team. This position combines data entry, record management, document processing, and general administrative support.

The successful candidate will be responsible for entering and updating information, maintaining digital records, reviewing documents for accuracy, organizing electronic files, preparing routine reports, and assisting with day-to-day administrative activities.

The role is suitable for candidates who are comfortable working independently, have strong attention to detail, and can manage routine computer-based assignments accurately and efficiently.

Position Summary

The Data Entry Administrative Clerk supports PulseMediaNL's administrative and operational functions by ensuring business information is accurately entered, maintained, organized, and accessible to authorized team members.

Typical administrative clerk responsibilities include maintaining databases and filing systems, preparing documents, updating records, and performing data-entry and general clerical duties.

The successful candidate will work primarily with digital records, spreadsheets, databases, forms, documents, and internal administrative systems. Because this is a remote position, the employee must demonstrate good time management, accountability, communication, and the ability to complete assignments with limited direct supervision.

Key Responsibilities

Data Entry & Information Processing

  • Accurately enter information into company databases, spreadsheets, CRM systems, and other approved platforms.

  • Transfer information from forms, emails, reports, digital documents, and other approved source materials.

  • Create new records and update existing information as required.

  • Review source documents before entry to ensure required information is available.

  • Enter names, dates, addresses, reference numbers, account information, numerical data, and other business information accurately.

  • Follow established data-entry formats, naming conventions, and processing procedures.

  • Complete assigned data-entry workloads within established deadlines.

  • Review completed entries before submission.

  • Maintain records of completed, pending, and outstanding assignments when required.

  • Report unclear, incomplete, or inconsistent information to the appropriate supervisor.

Data-entry positions commonly involve entering information into databases and spreadsheets, reviewing records for missing or inaccurate information, categorizing data, and maintaining organized files.

Administrative & Clerical Support

  • Provide routine administrative support to supervisors, operations staff, and other authorized team members.

  • Maintain administrative spreadsheets, trackers, logs, and internal records.

  • Prepare and format basic documents, reports, correspondence, and summaries.

  • Process routine forms and administrative documentation.

  • Organize electronic files and shared folders.

  • Retrieve information and documents in response to authorized internal requests.

  • Assist with maintaining contact lists, customer records, project information, and other administrative databases.

  • Monitor assigned administrative queues and task lists.

  • Assist with document-processing and record-management projects.

  • Complete additional clerical and administrative responsibilities as assigned.

Data Verification & Quality Control

  • Review entered information for accuracy and completeness.

  • Compare database entries against source documents.

  • Identify missing information, duplicate records, typing errors, and inconsistencies.

  • Correct routine errors according to established procedures.

  • Flag questionable information for review rather than making unsupported assumptions.

  • Verify important fields before completing records.

  • Perform routine quality-control checks.

  • Assist with database cleanup and record-maintenance activities.

  • Document significant corrections when required.

  • Report recurring data-quality problems or discrepancies to management.

Accuracy and attention to detail are especially important in data-entry work because employees are responsible for maintaining information that other business functions may rely upon.

Database & Spreadsheet Management

  • Maintain accurate and up-to-date spreadsheets and databases.

  • Add new information and modify existing records as authorized.

  • Review records periodically for outdated or incomplete information.

  • Sort, filter, and organize information according to established procedures.

  • Maintain administrative trackers and status reports.

  • Assist with removing or flagging duplicate records.

  • Prepare basic spreadsheet summaries when requested.

  • Ensure information is stored in the appropriate system.

  • Maintain consistent formatting across records.

  • Assist with routine database and spreadsheet cleanup.

Digital File & Document Management

  • Upload, rename, categorize, organize, and archive electronic documents.

  • Maintain structured digital filing systems.

  • Ensure files are saved in the appropriate folders or systems.

  • Identify missing, duplicate, incorrectly named, or incorrectly categorized documents.

  • Retrieve electronic records when requested by authorized employees.

  • Assist with routine file cleanup and archiving.

  • Review incoming requests and route them appropriately.

  • Respond to routine internal administrative inquiries when authorized.

  • Request clarification when information or instructions are incomplete.

  • Communicate data discrepancies to appropriate team members.

  • Provide supervisors with updates regarding assigned work.

  • Maintain professional written communication.

  • Follow established communication and escalation procedures.

Records & Document Processing

  • Receive and review documents submitted for processing.

  • Confirm that required information is present.

  • Categorize documents according to established procedures.

  • Enter relevant information into designated company systems.

  • Update the status of records after processing.

  • Identify documents requiring additional information or review.

  • Maintain appropriate documentation of completed transactions.

  • Support periodic records reviews and administrative audits where required.
