Position Summary

The Data Entry Administrative Clerk will perform a combination of data entry, clerical administration, document processing, record maintenance, spreadsheet management, and general administrative support.

Responsibilities will include entering and verifying information in company systems, updating databases and spreadsheets, organizing electronic files, processing forms and documents, preparing routine reports, monitoring administrative requests, and assisting internal teams with day-to-day operational tasks.

As a remote employee, the successful candidate must be dependable, self-motivated, organized, comfortable using digital tools, and capable of completing assigned work with limited direct supervision.

Key Responsibilities

Data Entry

  • Accurately enter information into databases, spreadsheets, CRM systems, and other approved company platforms.

  • Create new records and update existing records as required.

  • Enter names, contact information, dates, reference numbers, numerical information, and other business data.

  • Review source documents carefully before entering information.

  • Complete assigned data-entry tasks within established deadlines.

  • Review completed entries for accuracy before final submission.

  • Identify missing or unclear information and request clarification when necessary.

  • Maintain accurate records of completed and pending assignments.

Data Verification & Quality Control

  • Check entered information against source documents to identify discrepancies.

  • Review records for spelling errors, missing information, duplicate entries, and inconsistencies.

  • Correct routine errors according to established procedures.

  • Perform regular quality checks on assigned records.

  • Verify important information before records are finalized.

  • Flag questionable or conflicting information for supervisor review.

  • Assist with database cleanup and record-maintenance projects.

  • Maintain a high standard of data accuracy and integrity.

Administrative Support

  • Provide general clerical and administrative assistance to supervisors and internal teams.

  • Process routine forms, correspondence, requests, and administrative documents.

  • Maintain administrative trackers, logs, lists, and schedules.

  • Monitor assigned administrative queues and task lists.

  • Prepare basic reports, summaries, and spreadsheets.

  • Assist with routine office and operational projects.

  • Retrieve information and documents for authorized employees.

  • Route requests and documentation to the appropriate departments.

  • Support other administrative activities as assigned.

Spreadsheet & Database Management

  • Maintain accurate and up-to-date spreadsheets and databases.

  • Add, edit, organize, sort, and review information as authorized.

  • Maintain tracking spreadsheets for administrative activities.

  • Identify duplicate, outdated, or incomplete records.

  • Assist with database updates and periodic record reviews.

  • Apply consistent formatting to spreadsheets and records.

  • Prepare basic data summaries when requested.

  • Maintain organized and easily accessible administrative information.

Document Processing

  • Receive and review documents submitted for processing.

  • Confirm that required information is present.

  • Enter relevant information into appropriate systems.

  • Organize documents according to established procedures.

  • Track the status of administrative documents and requests.

  • Identify incomplete documentation and request additional information when appropriate.

  • Maintain records of completed processing activities.

  • Assist with document review, scanning, indexing, and archiving where applicable.

Digital File Management

  • Upload, rename, categorize, organize, and archive electronic documents.

  • Maintain structured digital filing systems.

  • Follow established file-naming and document-storage procedures.

  • Store records in the appropriate folders and systems.

  • Retrieve documents for authorized team members.

  • Identify duplicate, outdated, or incorrectly filed documents.
