Position Summary

The Data Entry / Shipping Clerk is responsible for ensuring the accurate and timely processing of shipping documentation, order entry, and inventory-related records. This position supports the shipping and purchasing departments by maintaining accurate data, coordinating shipments, and providing excellent customer service through effective communication. Accuracy and attention to detail are essential, as this role directly impacts inventory control, customer satisfaction, and the company's overall profitability.

Essential Qualifications

· Bilingual in English and Spanish (required)

· Previous data entry and order processing experience

· Shipping and logistics experience preferred

· Strong customer service skills

· Excellent verbal and written communication skills

· Proficient in Microsoft Office (Word, Excel, Outlook)

· Strong computer and data entry skills

· High attention to detail with strong organizational skills

· Ability to prioritize tasks and work in a fast-paced environment

· Comfortable using standard office equipment, including computers, scanners, telephones, calculators, and copiers

· Willingness to cross-train and assist with other office functions as needed

Essential Duties and Responsibilities

Shipping & Order Processing

· Receive and process incoming customer orders accurately and efficiently.

· Print shipping labels for all outgoing orders.

· Process, stage, and organize orders in the shipping area.

· Coordinate LTL and FedEx shipments using carrier web portals while monitoring freight costs.

· Prepare shipping documentation and confirmations.

· Notify customers when will-call orders are ready for pickup.

· Ensure all shipments are processed accurately and on schedule.

Data Entry & Administrative Support

· Accurately enter and maintain data in company databases and software systems.

· Review data for accuracy and correct errors as needed.

· Create and maintain spreadsheets, reports, and records.

· Organize and maintain electronic and paper files.

· Ensure company data is updated and properly backed up.

· Provide data entry and administrative support to multiple departments as needed.

Required Skills

· Strong data entry accuracy and typing skills

· Excellent organizational and time management abilities

· Problem-solving and critical-thinking skills

· Ability to multitask and meet deadlines

· Professional communication skills via phone and email

· Ability to work independently and collaboratively in a team environment
