This position combines data entry, office administration, digital record management, document processing, spreadsheet maintenance, and general operational support. The successful candidate will play an important role in ensuring company information is accurate, properly maintained, securely handled, and readily accessible to authorized team members.

Position Summary

The Data Entry Specialist / Office Administrator will support the daily administrative and data-management functions of PulseMediaNL.

The role involves entering and updating business information, maintaining databases and spreadsheets, processing documents, organizing digital records, preparing routine reports, monitoring administrative tasks, and assisting internal teams with operational requests.

The successful candidate must be capable of balancing multiple administrative responsibilities while maintaining a high degree of accuracy.

Because this is a remote position, the employee will also be expected to manage their workload independently, maintain reliable communication with supervisors and colleagues, and follow company procedures for confidentiality and information security.

Key Responsibilities

Data Entry & Information Processing

  • Accurately enter information into company databases, spreadsheets, CRM systems, administrative platforms, and other approved applications.

  • Transfer information from source documents, forms, emails, reports, and digital files into designated systems.

  • Create new records and update existing information when changes are received.

  • Review source information before entry to ensure required details are available.

  • Enter names, dates, addresses, reference numbers, contact information, numerical data, and other business information accurately.

  • Maintain consistent formatting across records.

  • Follow established data-entry procedures and documentation standards.

  • Process assigned records within established deadlines.

  • Review completed entries before submission.

  • Maintain appropriate records of completed, pending, and outstanding assignments.

Office Administration

  • Provide general administrative support to supervisors and internal teams.

  • Maintain administrative calendars, trackers, logs, spreadsheets, and internal records as assigned.

  • Prepare and format routine documents, correspondence, reports, and summaries.

  • Process administrative forms and documentation.

  • Monitor assigned administrative queues and shared inboxes.

  • Route requests to appropriate team members or departments.

  • Assist with coordinating routine administrative activities.

  • Retrieve information and documentation for authorized employees.

  • Maintain organized electronic filing systems.

  • Support special administrative and operational projects as assigned.

Database & Spreadsheet Management

  • Maintain accurate and up-to-date company spreadsheets and databases.

  • Add new information and modify existing records as authorized.

  • Review databases for incomplete, inconsistent, duplicate, or outdated information.

  • Sort, filter, categorize, and organize information according to established procedures.

  • Maintain tracking spreadsheets and administrative reports.

  • Assist with database cleanup and record-maintenance activities.

  • Prepare basic spreadsheet summaries for supervisors when requested.

  • Ensure information is stored within the correct system.

  • Maintain consistent formatting and data standards.

Data Verification & Quality Control

  • Review entered information for accuracy and completeness.

  • Compare database entries against available source documentation.

  • Identify missing information, typing errors, duplicate entries, and inconsistencies.

  • Correct routine errors according to company procedures.

  • Verify important fields before completing records.

  • Perform routine quality-control checks.

  • Flag questionable or incomplete information for additional review.

  • Avoid making unsupported assumptions when source information is unclear.

  • Report recurring data-quality problems to the appropriate supervisor.

  • Participate in periodic record reviews and database cleanup activities.

Document & Digital File Management

  • Upload, rename, categorize, organize, and archive electronic documents.

  • Maintain structured digital filing systems.

  • Follow company file-naming and document-storage conventions.

  • Ensure files are stored in the appropriate folders and systems.

  • Identify duplicate, outdated, incorrectly named, or incorrectly categorized documents.

  • Retrieve electronic records for authorized employees.

  • Maintain orderly shared folders and digital workspaces.

  • Assist with routine document cleanup and archiving.

  • Ensure records are organized in a manner that supports efficient retrieval.

Administrative Communication

  • Monitor assigned administrative email accounts and communication channels.

  • Review incoming requests and determine the appropriate next steps.

  • Respond to routine internal administrative inquiries when authorized.

  • Forward specialized requests to the appropriate department.

  • Request clarification when information or instructions are incomplete.

  • Communicate discrepancies to appropriate team members.

Document Processing

  • Receive and review documents submitted for administrative processing.
