Job Title Data Management Assistant for Workforce Development & Community Education (WDCE) Job Description
The Data Management Assistant provides administrative and data management support for Workforce Development & Community Education (WDCE). This position is responsible for maintaining accurate student and course records, processing instructional documentation, supporting enrollment and registration activities, preparing reports, assisting with purchasing and contracts, and providing exceptional customer service to students, faculty, staff, and community partners. The position works collaboratively across the division to ensure accurate data management, efficient office operations, and compliance with College and North Carolina Community College System requirements.
The Data Management Assistant reports to the Chair of Workforce Development & Community Education (WDCE).
Full Time or Part Time Full Time Essential Duties Summary
Duties include:
- Provide administrative and office support to the Chair, Vice President, program directors, faculty, and staff within Workforce Development & Community Education.
- Process and maintain instructional records, including course documentation, rosters, attendance records, grade reports, contracts, and other required documentation in accordance with College and State guidelines.
- Prepare, review, and organize instructional packets and course materials to support the successful delivery of Workforce Development courses.
- Maintain accurate student, course, and program information within the College's student information systems and other databases while ensuring data integrity and confidentiality.
- Assist students and prospective students with admissions, registration, enrollment, and general inquiries by providing timely, courteous, and customer-focused service.
- Process tuition payments, issue receipts, distribute parking permits, and perform other cashiering and business office functions as assigned.
- Serve as the primary point of contact for the Workforce Development & Community Education office by greeting visitors, answering telephone calls, responding to emails, and directing inquiries appropriately.
- Assist with the preparation and processing of instructor contracts, work-study agreements, purchase requisitions, purchase orders, travel requests, reimbursement forms, and other administrative documents.
- Compile, verify, and prepare reports to support program operations, state reporting requirements, and departmental decision-making.
- Maintain departmental filing systems, both electronic and paper, ensuring records are accurate, organized, and maintained in accordance with applicable records retention requirements.
- Assist with scheduling, logistics, and administrative support for departmental meetings, workshops, special events, and community activities.
- Cross-train with other administrative staff to ensure continuity of operations and uninterrupted customer service throughout the division.
- Participate in professional development activities to remain current with College procedures, technology, and North Carolina Community College System requirements.
- Serve on College committees and special projects as assigned.

- Perform other duties as assigned by the supervisor.
Required Qualifications
- Associate degree in Business Administration, Office Administration, Information Systems, or a closely related field.
- Demonstrated proficiency with Microsoft Office 365, including Word, Excel, Outlook, and Teams.
- Experience with data entry and maintaining accurate electronic records.
- Excellent customer service and interpersonal communication skills.
- Strong organizational, time management, and multitasking abilities.
- Ability to maintain confidentiality and exercise sound judgment.
- Ability to work independently while contributing effectively as part of a team.
Preferred Qualifications
- Experience working in a community college or higher education environment.
- Experience with Colleague, Self-Service, or other student information systems.
- Experience processing purchasing documents, contracts, and budget-related paperwork.
- Experience preparing reports and maintaining databases.
Physical Demands
Work is performed primarily in a professional office environment with standard climate controls. The position requires prolonged periods of sitting and extensive computer use while entering, reviewing, and maintaining electronic records. Frequent interaction with students, faculty, staff, and the public is required. Occasional evening and weekend work, as well as limited travel between College campuses or off-site instructional locations, may be necessary to support departmental operations and special events.
Essential functions of this position require effective communication, organizational skills, manual dexterity, attention to detail, and the ability to operate standard office equipment.
Light to Medium work: Exerting up to 20 pounds of force occasionally and up to 10 pounds of force frequently to lift, carry, push, pull, or otherwise move objects. Duties include prolonged sitting, frequent keyboarding, standing, walking, bending, reaching, stooping, lifting office supplies and instructional materials, and occasional travel between College locations.
Mental Application and Reasoning Ability: Requires the ability to maintain accuracy while working with detailed records and multiple deadlines. Must exercise sound judgment, critical thinking, discretion, and problem-solving skills while maintaining confidentiality of student and employee information. The position requires excellent organizational skills, adaptability to changing priorities, attention to detail, effective verbal and written communication, and the ability to analyze information, coordinate multiple projects simultaneously, and work collaboratively with diverse populations.
Salary Grade Salary Salary Range: $31,200 to $43,680 based on education and experience
