    Description

    We are seeking a highly detail-oriented and proactive Data Analyst to support workforce operations across five locations. This role is critical in ensuring accuracy, compliance, and efficiency across workforce management (WFM), payroll, and reporting systems.

    The ideal candidate will act as a central control point for workforce data, helping reduce operational risk, improve reporting visibility, and ensure audit-ready processes at all times.

    Key Responsibilities

    Workforce & Payroll Management

    • Manage sick pay and paid time off (PTO), ensuring accurate entry into WFM systems and timely submission to payroll
    • Maintain and update workforce management (WFM) systems, including:
    • Scheduling changes
    • Attendance corrections
    • Personnel Action Form (PAF) updates
    • Serve as a control point between WFM systems and Bullhorn to ensure data alignment and accuracy

    Data Accuracy & Risk Mitigation

    • Proactively identify and correct inconsistencies in attendance, payroll, and workforce records
    • Reduce operational and financial risk through accurate data capture and validation
    • Prevent invoice short pays by ensuring proper documentation and timely discrepancy resolution

    Reporting & Analytics

    • Deliver accurate and timely reports to onsite leadership and the client, including:
    • Headcount reporting
    • Attendance tracking
    • Labor utilization
    • Overtime visibility / trending
    • Daily percent staffed reporting
    • Perform ongoing analysis, including:
    • Daily staffing variance (scheduled vs. actual headcount)
    • Absenteeism trends (by room, line, building, etc.)
    • Attendance trends (call-outs, tardies, no-shows)
    • Overtime risk analysis based on WFM data
    • Gap tracking (headcount vs. filled roles)
    • Payroll exception tracking (missed punches, manual adjustments, errors)
    • Bullhorn vs. WFM discrepancy analysis
    • Billing risk identification

    Compliance & Audit Support

    • Support client audits by maintaining complete, accurate, and readily available documentation
    • Monitor compliance risks, including missing or expiring documentation
    • Track onboarding progress and clearance status for new hires

    Administrative Reporting Responsibilities

    • Ganaz reporting
    • Birthday and anniversary reports
    • Drug screen tracking
    • Termination reports and exit interview data
    • Missing punches reporting (weekly)
    • 90-day employee reporting

    This position plays a vital role in improving operational efficiency and supporting leadership by:

    • Ensing payroll, attendance, and workforce systems remain clean and accurate
    • Preventing billing discrepancies and revenue loss
    • Identifying issues early before they escalate into larger operational problems
    • Providing clear, actionable insights to the client for better decision-making
    • Maintaining audit-ready systems and documentation at all times
    • Reducing administrative burden on onsite managers, allowing them to focus on people, performance, and client relationships
    • Creating smoother daily operations with fewer urgent escalations (“fire drills”)

    Qualifications

    • Experience in data analysis, workforce management, or operations support
    • Strong attention to detail and data accuracy
    • Experience with WFM systems and/or Bullhorn (preferred)
    • Proficiency in Excel or similar reporting tools
    • Ability to analyze trends and communicate insights clearly
    • Strong organizational and problem-solving skills
    • Ability to support multiple locations and priorities effectively
