The Sisters of Mercy of the Americas are guided by a mission to respond with compassion, vision, and mercy to the needs of people who are poor, sick, and uneducated. We are seeking a detail-oriented and organized Database Specialist / Administrative Assistant to support our Mission Advancement Office and help strengthen relationships with donors, partners, and supporters who make our work possible.
This position is ideal for an administrative professional who enjoys working with data, maintaining accurate records, supporting donor stewardship efforts, and contributing to a meaningful mission.
Create and maintain accurate donor records and ensure data integrity within the donor database.
Process and record gifts using Blackbaud Raiser's Edge software.
Validate and post gift batches and prepare transmittal reports.
Generate donor acknowledgements with a high degree of accuracy and timeliness.
Research and compile donor information as needed.
Design database queries and reports to support fundraising efforts and donor engagement.
Perform routine database maintenance and updates.
Maintain confidentiality of donor information at all times.
Serve as a primary point of contact for the Advancement Office.
Greet visitors and respond to inquiries via phone, email, and in person.
Manage incoming mail, calendars, and office correspondence.
Coordinate meetings and prepare meeting minutes.
Assist with annual audits and reporting requirements.
Support office technology needs and maintain departmental documentation.
Create donor mailing lists and segmented reports.
Ensure mailing processes comply with postal regulations.
Coordinate production and distribution of fundraising appeals and donor communications.
Minimum of 2 years of administrative assistant experience or an equivalent combination of education and experience.
Proficiency with donor management software, Microsoft Office 365, and mail merge functions.
Strong organizational skills with the ability to prioritize multiple projects and meet deadlines.
Excellent grammar, spelling, proofreading, and written communication skills.
Exceptional attention to detail and accuracy.
Ability to work independently and maintain confidentiality.
Experience with Blackbaud Raiser's Edge and/or Financial Edge.
Experience in fundraising, donor stewardship, advancement, or nonprofit administration.
Prior experience working in a religious organization or nonprofit environment.
