Community Action Partnerships of Western Nebraska (CAPWN) is a non-profit community-based health and human services organization that serves low-income, disadvantaged and those unable to meet their needs through other sources. The agency was established in 1965 and provides services to over 9,000 individuals, children and families in three main areas:

  • Community Health Services: WIC, Commodity Supplemental Food, Foster Grandparents, Head Start, and Child Development Center.

Job Title: Dental Clinic Manager

Reports To: Clinical Health Services Director

Areas of Responsibility: Provide operational leadership for the dental clinic by overseeing daily operations, supervising administrative and clinical support staff as designated by the organizational chart, and ensuring efficient, high-quality, patient-centered services in collaboration with the Dental Director and CAHC Leadership.

Major Duties:

  • Play an active role in patient services using the provider-led, team-based Patient Centered Medical Home Care Model.
  • Serve as the central communication hub between the clinical team, front office, Dental Director and CAHC Leadership.
  • Serve as a role model for effective teamwork among staff, both clinical and administrative and actively work to maintain positive morale and attitude.
  • Partner with clinicians to support overall practice success.
  • Monitor and improve operational performance by evaluating provider schedules, patient access, productivity, no-show rates, clinic workflows, and other key performance indicators. Develop and implement process improvements to enhance efficiency, patient experience, and operational outcomes.
  • Foster a positive, professional, and patient-focused clinic culture.
  • Maintain a professional, warm and efficient environment for patients ensuring they receive exceptional patient experience and standard of care as guided by the Dental Director.
  • Identify opportunities to improve clinic efficiencies and workflow before they affect the patient experience.
  • Define processes and procedures to ensure efficient and timely appointment scheduling, patient check-in and check-out; completion of appropriate CAPWN patient forms & recording of demographics into the Electronic Medical Record (EMR).
  • Support the preparation and presentation of treatment plans, including out-of-pocket estimates and financing options
  • Ensure accurate calculation and determination of sliding fee scale; calculation and collection of charges, determination of presumptive eligibility for Nebraska Medicaid; update patient information in the chart; complete pre-authorization of insurance.
  • Implement procedures for accurate and timely maintenance of client's dental chart, which includes but is not limited to; appropriate scanning of client paperwork in chart including income documentation into every household member's dental record and notes for patient encounters including phone calls.
  • Work with billing department to complete accurate and timely billing for all dental encounters, including billing for Medicaid, private insurance and uninsured patients.
  • Assist and support billing staff regarding collections, denials, and revenue cycle.
  • Handle patient concerns, billing questions, and escalations with confidence and care.
  • Oversee supply inventory, vendor relationships, and equipment service coordination
  • Coordinate staff schedules and reviewing PTO requests to ensure adequate staffing.
  • Responsible for hiring, onboarding, directing, and mentoring staff, including communicating job expectations, providing performance reviews, timecard review and managing corrective actions.
  • Ensure compliance with company policies and state and federal regulations.
  • Develop, execute and periodically review the adherence to policies and established procedures to ensure effective and efficient delivery of care.
  • Maintain operational systems that ensure HIPAA compliance, OSHA standards, and dental regulatory requirements are met at all times.
  • Maintain confidentiality of records and communications following CAPWN policy and HIPAA privacy and security policies and procedures.
  • Participate in quality assurance process for the dental clinic.
  • Attend staff training sessions and meetings as required.

Working Conditions:

  • Dental Clinic environment including training, meetings, and community interaction.
  • Must be flexible to work irregular hours if needed.
  • The noise level in the work environment is above average in the clinical area.

Physical Requirements:

  • Ability to bend, stoop, squat, crouch, push and pull file drawers.
  • Fine manipulation of hands for repetitive action.
  • Must regularly talk, hear and have close vision ability.
  • Occasionally lifting and carrying up to 25 pounds.
  • Ability to manage competing priorities, tight schedules, and high patient volume without losing composure or quality

Minimum Qualifications:

Grade: 5

  • High school diploma or GED.
  • Leadership experience in a dental or healthcare setting preferred OR clinical dental experience (IE: dental assisting or hygiene)
  • Experience in office procedures or data entry including Electronic Medical Records.
  • Knowledge of basic insurance practices, scheduling, and clinic practice operations is preferred.
  • Exceptional attention to detail required.
  • Demonstrated strong leadership, communication and team-building skills including hiring, developing and coaching team members required
  • Strong communication, organizational, and problem-solving skills.
  • Ability to obtain CPR certification within the first 30 days.
  • Ability to multitask and lead in a fast-paced environment.
  • Proficient level of oral and written communication skills with incentive pay for Spanish speaking.

Grade: 6

  • Meet the minimum qualifications in grade 5 above AND
  • Two years of experience in dental, medical, or healthcare office management OR clinical dental experience a plus. (IE: dental assisting or hygiene)
  • Proficiency with Electronic Medical Records such as Dentrix and NextGen; experience with electronic scheduling platforms required.

Grade: 8

  • Meet the minimum qualifications in grade 5 above AND
  • Three years of experience in dental, medical, or healthcare office management OR clinical dental experience a plus. (IE: dental assisting or hygiene) OR
  • Bachelor's degree in Business or a related field.

Grade: 9

  • Meet the minimum qualifications in grade 5 above AND
  • Four+ years of experience in dental, medical, or healthcare office management with clinical dental experience. (IE: dental assisting or hygiene).
