Description
The Dental Clinic Manager's primary job function is to manage day-to-day operations of assigned departments and teams, while aligning work processes with organizational goals.
Essential Duties:
Supervises the dental clinic's dental assistant, receptionists, and dental referral coordinator including hiring, training, orientation, coaching, progressive discipline and performance evaluations.
Provides leadership to direct reports in the execution of work plans and long and short-term goals. Implements site level infrastructure and changes to supporting processes and systems. Implements and completes site goals.
Maintain and adjust work schedules and ensure optimal staffing across assigned areas.
Monitors and ensures compliance with protocols and administrative procedures, HIPAA, CLIA, OSHA and state and federal regulations.
Adheres to, reviews, and develops policies and procedures, making recommendations for improvements, updates, and/or changes to the Dental Clinic Administrator.
Addresses and resolves patient-related issues (such as complaints, customer service, etc.).
Regularly interfaces with providers, managers, and staff to assist to facilitate communication and improvement activities.
Analyzes patient flow problems and assists in instituting solutions.
Responsible for developing, managing and evaluating systems to promote lean practices and standard work flows.
Acts as a role model to support clinic and system policies and managerial decisions. Promotes teamwork and enhances a positive work environment. Encourages and supports teamwork and mutual respect among all coworkers.
Possesses excellent customer service skills and act as a role model in providing exceptional customer service.
Maintains adequate staffing levels to provide outstanding patient care and service. Make staff work assignments.
Oversees dental supply ordering and coordinates with Dental Clinic Administrator (DCA) and Chief Financial Officer (CFO) regarding budget and expenses as needed.
Responsible for financial management of the dental clinic. Monitors monthly financial statements and client visits. Manages revenue, expenses and staffing to ensure successful operations and financial stability.
Assesses quality of and coordinates patient care services with patients, staff, and Providers
Interacts and collaborates regularly with providers to provide direction and oversight of effective schedules, efficient clinic work flow and patient flow, establishing and maintaining a cooperative, relationship of trust with providers
Responsible for all pre-authorizations, follow-up, and referrals for dental procedures and scheduling any appointments that require pre-authorization or a referral.
Advising patients of any estimated out-of-pocket costs due at the time of service (including prior balances)
Responsible for scanning all documents into the corresponding patient charts
Enter charges for dental services into the computer. Check each chart for logic, accuracy, and correct totaling
Responsible for treatment plan presentations to patients (explaining cavities, perio disease, x-rays), giving them the price/fee estimates, and following up with patients that have unscheduled treatment plans.
Pre-qualifying patients by sending pre-authorizations to their insurance companies for their treatment
Check online Portals for Approved /Denied preauthorization
Upload All approved/Denied Pre-authorization under document in EDR, let patients know OOP (Out of Pocket estimate) and schedule as needed
Informing patients about the benefits, risks, and costs of various treatment options
Preparing written treatment plans per the doctor's instructions
Presenting fees and providing estimates for treatment
Answering questions related to treatment and fees
Discussing dental insurance benefits when applicable
Obtaining as high of a case acceptance percentage as possible
Documenting financial arrangements and commitments to pay
Adhering to all company financial policies and procedures
Bringing patients back in for additional consultations as necessary
Following up with patients who defer treatment
Other duties as assigned.
Requirements
Bachelor's degree in health care or business field, preferred
Dental Assistant Diploma or certification.
1-2 years experience supervising staff preferred
Experience with electronic medical records
Knowledge of computer applications and equipment related to work. Must have basic computer and keyboarding
skills and have the ability to enter data within company's computer system to include strong knowledge in MS Word/Excel.
Demonstrated ability in leadership and organization.
Ability to plan, organize and direct.
Strong interpersonal and communication skills and the ability to work effectively with other staff and management.
Demonstrated skill in developing and maintaining productive work teams.
Ability to demonstrate personal integrity in all interactions.
Ability to support and work with a diverse patient base
Good oral and written communication skills
Self-starter and able to work with minimal supervision
