Purpose:

Provide administrative and operational support at a foundational level, with a primary focus on union field operations, payroll processing, and compliance with collective bargaining agreements, while supporting two or more core branch functions. This role contributes to the efficient execution of field work by ensuring accurate payroll, supporting jobsite coordination, maintaining employee records, and assisting with reporting and compliance activities tied to union and regulatory requirements.

Responsibilities:

•    Support weekly payroll processing for union and field teammates, including timecard review, job cost coding, and validation against union requirements.
•    Review and audit time entries, hours worked, and job assignments to ensure accuracy and alignment with CBAs and applicable labor rules.
•    Coordinate with supervisors and foremen to resolve timecard discrepancies, missing hours, or coding issues in a timely manner.
•    Maintain and track union requirements, including dues, benefits contributions, and reporting obligations.
•    Assist with preparation and submission of certified payrolls and prevailing wage documentation where applicable.
•    Support onboarding and recordkeeping for union teammates, including tracking of agreements, classifications, and required documentation.
•    Partner with HR and leadership to communicate union-related updates, policies, and compliance requirements to teammates.
•    Maintain accurate and organized records of employee time, payroll data, union documentation, and jobsite assignments.
•    Assist with jobsite coordination and administrative support, including scheduling communication, tracking manpower, and supporting field operations.
•    Support basic AP/AR or administrative functions as needed to assist overall branch operations.
•    Assist with answering phones and general office administration functions.
•    Develop strong working relationships with field teammates, supervisors, union representatives, and internal stakeholders.
•    Identify potential risks or inconsistencies in payroll or reporting and elevate concerns to leadership.
•    Perform other duties as required by the supervisor.
•    Must adhere to NRF safety programs and standards.
•    Demonstrate conduct consistent with NRF vision and values.

Detailed Selection Criteria:

•    Customer Service - Knowledge of principles and processes for providing customer services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.  This also includes effectively anticipating and meeting customer needs and the ability to adjust approach based on the situation.

Preferences:

•  Experience with union payroll, construction payroll, or certified payroll reporting 
•  Familiarity with collective bargaining agreements (CBAs) or labor compliance requirements 
•  Prior experience in construction, industrial, or field-based operations 
•  Experience with timekeeping/payroll systems (e.g., Dayforce, SAP, or similar) 
•  Strong Excel skills (payroll reconciliation, data validation) 
•  Ability to interpret job codes, cost codes, or labor classifications 
•  High attention to detail with strong organizational skills 
•  Strong written and verbal communication skills 
•  Ability to manage multiple deadlines and priorities in a production-driven environment
