Description

The Deposit Operations Representative is responsible for reviewing account maintenance and related documentation completed by Retail and Deposit Operations staff, providing exceptional support to internal and external customers regarding deposit and electronic banking services, and performing document imaging functions to ensure the accurate retention and retrieval of critical bank records. This position plays a key role in maintaining operational accuracy, regulatory compliance, and customer satisfaction

Job Responsibilities

•    Verify various types of account and customer maintenance by comparing system-generated reports to supporting documentation. This includes, but is not limited to:
o    Address changes
o    Account type changes
o    Customer profile maintenance
o    Debit card maintenance
o    Signer and ownership changes
o    Account closures and modifications
•    Track missing documentation and ensure that any errors identified during maintenance reviews are corrected promptly to meet compliance, audit, and regulatory requirements.
•    Complete research requests and respond to inquiries from internal departments, customers, and third-party institutions.
•    Process transactions related to incoming wire transfers, Federal Reserve adjustments, returned items, and other deposit operations activities.
•    Provide prompt, efficient, and accurate support to internal and external customers via telephone and email regarding deposit and electronic banking services, including:
o    Online & Mobile Banking
o    Bill Pay
o    Mobile Deposit & Remote Deposit Capture
o    eStatements
o    Online Account Opening
o    Internal and external transfers
o    Debit card services
o    Customer profile maintenance
o    Returned or rejected items
o    Error resolution and dispute processing
•    Review mobile deposit transactions for accuracy and potential fraud concerns and process related files in accordance with bank policies and procedures.
•    Perform document imaging functions in compliance with federal and state retention requirements, ensuring documents are accurately scanned, indexed, filed, and retrievable for research, audit, and operational purposes.
•    Print and distribute customer notices, checks, and correspondence, including but not limited to:
o    CD maturity notices
o    Status change notices
o    Overdraft notices
o    Safe deposit box invoices
o    IRA distribution checks
o    Club account distribution checks
•    Process returned mail by researching account information, updating records as appropriate, and assessing returned mail fees in accordance with bank policy.
•    Maintain knowledge of bank policies, procedures, products, services, and applicable banking regulations to ensure compliance and operational excellence.
•    Assist with internal audits, external audits, and regulatory examinations by providing requested documentation and research.

Qualifications

•    High school diploma or equivalent required; associate degree in Business, Finance, Accounting, or a related field preferred.
•    Minimum of one to three years of banking, deposit operations, customer service, or related financial services experience preferred.
•    Strong attention to detail and exceptional organizational skills.
•    Ability to effectively prioritize workload, manage multiple tasks simultaneously, and meet established deadlines.
•    Strong computer proficiency, including experience using core banking systems, Microsoft Office products, and multiple applications and monitors simultaneously.
•    Demonstrated problem-solving abilities and sound judgment with the ability to work independently and make decisions with minimal supervision.
•    Strong analytical and research skills.
•    Excellent verbal and written communication skills.
•    Proven ability to work effectively in a team-oriented environment while maintaining positive working relationships.
•    Working knowledge of deposit regulations and electronic banking products preferred.
