The Design Project Coordinator serves as the operational anchor for our client's projects, ensuring each design, furnishing, and lighting project moves efficiently from specification to installation.Working closely with the Showroom Sales Specialist, this role bridges clients, vendors, and internal teams to maintain seamless communication, clear documentation, and timely execution. The position supports all three of our clients' programs: Concierge, Encore, and To the Trade, overseeing logistics, project tracking, and scheduling from purchase through completion.Founded over 20 years ago, our client is known for its long-standing relationships and trust within the design community. The Design Project Coordinator plays a vital role in sustaining that legacy by ensuring every project is organized, precise, and professionally managed.This position may be remote or hybrid, offering flexibility while maintaining close collaboration with the Athens showroom team.
Responsibilities
Oversee projects from sale through delivery and installation across all company programs.
Communicate regularly with clients, vendors, and the internal team, delivering timely updates and client progress reports.
Coordinate purchase acknowledgments, shipping schedules, and installation timelines to keep projects on track.
Track all projects, freight, and vendor correspondence to ensure accuracy and budget alignment.
Maintain organized documentation, including quotes, invoices, and delivery records.
Anticipate delays or issues, propose solutions, and communicate proactively with team members and vendors.
Partner with the Showroom Sales Specialist to align project details, priorities, and client communication.
Support business development and marketing with project updates, photography, and completion documentation.
Manage multiple projects simultaneously with precision, professionalism, and consistent follow-through.
Contribute to ongoing improvements in project systems, documentation, and workflow.
Requirements
Experience in project coordination, interior design operations, or furniture and lighting logistics.
Bachelor’s degree required, preferably in interior design, decorative arts, or a related field.
Strong knowledge of vendor processes, lead times, and project tracking in the furnishings and lighting industry.
Proficiency with Microsoft Office Suite, including Excel, and Adobe Acrobat.
Familiarity with project management software such as Monday.com and creative tools such as Canva.
Experience with AutoCAD, SketchUp, or related design software is a plus.
Excellent communication and organizational skills with meticulous attention to detail.
Self-motivated and dependable with proven ability to manage competing priorities in a fast-paced setting
The position requires reliability during standard business hours and coordination with sales and design teams to maintain project flow and client satisfaction.
