Duties

Help

This position provides key administrative support to the Child and Youth Program, serving as the initial point of contact for visitors. Responsibilities include utilizing the CYPBMS for financial management, data collection, and reporting, along with general administrative duties like correspondence, record keeping, and supply management. Strong customer service skills and the ability to maintain accurate information are essential. Reports directly to the Director or Assistant Director in the absence of the Director.

Receives children, youth, parents, and other visitors in a courteous manner. Answers the main telephone, ascertains the nature of the call, and directs the caller to appropriate staff, takes a message, or personally provides desired information. Utilizes the Child and Youth Program Business Modernization System (CYPBMS) to manage funds, collect and maintain statistical data for planning and reporting purposes IAW higher headquarters and statutory requirements, compute and record individual transactions, and enter data for regulatory compliance and statistical reporting. Provides administrative support including preparing correspondence, memorandums, briefings, daily activity reports, and personnel travel orders. Uses office automation equipment and word processing software. Refers to agency regulations and standard office reference materials to ensure proper format, grammatical accuracy, and correct spelling. Maintains records, files, and suspense systems IAW regulatory requirements and disposition schedules. Prepares invoices and supply/equipment requests. Uses e-mail to send and retrieve messages. Understands and articulates policies relating to patron fees, waiting lists, and program events, and registers patrons appropriately. Works cooperatively with Resource and Referral to track program vacancies and occupancy rates. Ensures risk management procedures (i.e., abuse prevention, identification, and reporting procedures; accident prevention, etc.) are followed. Monitors and orders supplies and resources. Assists in facility key control. Maintains time and attendance cards.

In order to qualify, you must meet the experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Your resume must clearly describe your relevant experience; if qualifying based on education, your transcripts will be required as part of your application.

Qualifying Experience:

Must be at least 18 years of age, hold a high school diploma (or equivalent), Must be able to communicate effectively in English, both verbally and in writing, and possess strong interpersonal communication skills dealing with the public. Must have experience in responsible clerical or office work in which the applicant has demonstrated the ability to perform satisfactorily at the grade level of the position. Must have experience in using Microsoft Office Suite (Outlook, Excel, Word, and PowerPoint). Proficiency in typing skills is required. Experience which has demonstrated arithmetic aptitude and ability, accuracy and attention to detail; progressively responsible experience in the receipt, disbursement, examination, deposit, custody, or other processing of cash and cash items. Knowledge of Child and Youth Program Business Modernization System (CYPBMS) or equivalent database system is desirable.

Education

Some federal jobs allow you to substitute your education for the required experience in order to qualify. This position does not allow for education substitution in order to qualify.
