Our company is hiring a Secretary to carry out general secretarial work and provide administrative support to departments and staff. As a Secretary you will assist in payroll, maintaining financial records, and maintaining communication between various departments. You will be responsible for welcoming guests and clients. As a Secretary, you should perform multi-tasking jobs and demonstrate interpersonal and strong administrative skills.
Responsibilities/Duties
Candidates should perform their responsibilities and duties in keeping with the set policies and office regulations. Your success will depend on your ability to follow the below requirements.
1. Answer phone calls, and forward them to various departments.
2. Arrange meetings, manage daily, monthly, quarterly agenda, and facilitate appointments.
3. Develop an effective filing system and maintain it.
4. Make necessary travel arrangements for executives and management staff.
5. Check office inventory and order required office supplies.
6. Prepare and distribute reports, forms, and memos among office staff and concerned members.
7. Welcome guests, clients, and visitors.
8. Do email correspondence and respond to queries over the telephone, email, and face-to-face.
9. Maintain company records and keep them updated with new records and data.
Qualifications
1. Diploma/Graduation or any other relevant certificate.
2. Computer literate and proficient in MS Office.
3. Ability to do multitasking jobs.
4. Experience in book-keeping and accountancy.
5. Experience in managing calendars and prioritizing calls and scheduled meetings.
6. Excellent oral and written communication skills.
7. Ability to work independently without supervision.
8. Previous experience in office administration and secretarial work.
9. Good interpersonal skills and time management skills.
