Position Purpose
The Development Coordinator plays a vital role in supporting Hill Country Christian School’s fundraising, constituent relations, donor stewardship, and development operations. As a key member of the Advancement team, this position coordinates donor database administration, gift processing, donor communication, event logistics, and department operations. The ideal candidate is highly organized, detail-oriented, and possesses the warmth and professionalism required to represent the school to donors, parents, alumni, and the broader school community.
Accountability: Reports to Director of Development
FLSA Status: Non-Exempt, Part-time (50%)
Qualifications:
- Must be a Christ-follower who upholds, in word and deed, the Hill Country Christian School of Austin’s Core Values and Statement of Faith.
- Must faithfully attend a church whose fundamental beliefs are in agreement with the Statement of Faith of this school.
- Bachelor’s degree or equivalent professional experience is required.
- 2+ years of experience in a development, administration, fundraising operations, or data-driven role (experience in an independent school or non-profit setting is highly preferred).
- Proficiency with donor management software/CRMs (e.g., Bloomerang, Blackbaud Raiser’s Edge) and the Microsoft Office Suite or Google Suite (especially advanced Excel/Sheet for data sorting and mail merges) is required.
- Excellent written and verbal communication skills, with exceptional attention to detail.
- Ability to manage multiple projects simultaneously.

- Strong customer service mindset.
- Ability to maintain confidentiality regarding sensitive donor and financial information.
Responsibilities:
Development Operations
- Coordinate the production and distribution of Annual Fund, capital campaign, and corporate sponsorship collateral.
- Manage logistics for donor meetings, including calendar coordination, venue or room reservations, and preparation of personalized materials if needed.
- Assist the Director of Development with prospect management and strategic donor research
Database Management & Gift Processing
- Maintain the development database to ensure accurate constituent records and data integrity.
- Process and reconcile gifts, pledges, matching gifts, and in-kind donations in compliance with IRS requirements.
- Generate timely and accurate donor acknowledgment letters weekly and tax receipts annually in compliance with IRS requirements.
- Pull complex queries, compile targeted mailing or invitation lists, and generate regular reports (e.g., Annual Fund progress, campaign tracking, and board reports).
- Partner with the Business Office to perform monthly reconciliations of giving data and, annually, for audits, to ensure accurate financial tracking.
- Track participation and campaign progress.
Donor Relations & Stewardship
- Serve as a primary point of contact for donor inquiries and constituent support, providing exceptional service via phone, email, and in person.
- Coordinate donor communications and stewardship activities, including acknowledgment letters and sponsorship fulfillment.
- Assist with preparing donor meeting materials and stewardship reports.
Event Coordination
- Coordinate administrative and logistical support for development-related events (e.g., Knight with the Stars Annual Gala, Alumni Homecoming, Grandparents Day, Capital Campaign receptions, major donor events).
- Manage registrations, RSVP tracking, check-in software, seating charts, and vendor communication.
Administrative Support
- Schedule meetings, prepare agendas, and take minutes for the advancement team and assigned board committees.
- Maintain the development master calendar and key project deadlines.
- Schedule meetings, prepare agendas, and provide administrative support for development staff and committees
Special Initiatives
- Other duties as assigned.
Physical Requirements
- Must be able to remain in a stationary position using repetitive arm, hand, and finger movements.
- Able to operate a computer and a copy machine.
- Ability to work in an active office setting with frequent student interactions and numerous interruptions.
- Frequently communicates with students, parents, co-workers, and others. Must be able to exchange accurate information in these situations, whether in person, via email, or telephone.
