Job Summary
The Development Assistant is a key member of the Strategic Partnerships team, serving as the operational backbone of the department through executive-level coordination, project management, partner communications, and administrative support. This role supports MnTC’s highest profile external relationships, fundraising initiatives, and departmental operations with a high level of professionalism, discretion, and execution.
This position serves as a trusted partner to the Senior Director and department leadership, managing key logistics, communications, systems, and special projects that directly advance MnTC’s strategic partnership and fundraising goals.
Essential Job Responsibilities:
Administrative Support:
- Manage departmental calendars and meeting logistics for the Senior Director and department leadership, including preparing agendas, capturing meeting notes, and distributing follow-up communications for Strategic Partnerships team and executive meetings
- Serve as a key administrative resource for the Strategic Partnerships team, proactively supporting department operational needs on behalf of the Senior Director and Vice President.
- Assist with research projects in support of grant funding, prospective partners and donor engagement strategies.
- Partner with the gift processing team during high-volume periods to ensure accurate and timely donation processing.
- Maintain Microsoft teams file organization and document storage for the Strategic Partnership department.
- Organize and attend departmental meetings, create agendas, set up online access for remote attendees, take notes, distribute meeting minutes.
Marketing Related Projects:
- Represent the Strategic Partnerships team in cross-departmental meetings related to events, partner campaigns, and donor communications.
- Initiate the department's marketing request process, including submitting tickets, scheduling kickoff meetings, gathering content, coordinating feedback between the Strategic Partnerships team and Marketing, and approving final pieces for print or distribution.
- Maintain the department communications calendar, ensuring campaigns, mailings, and outreach efforts are planned, tracked, and executed on schedule.
- Project Management:
- Coordinate donor communication projects from beginning to end for direct mailings; pre/post-event invites and thank you’s; solicitation campaigns; and donor appreciation campaigns.
- Collect and purchase supplies needed for departmental projects; distribute supplies to team members; generate corresponding mailing lists; and provide other project materials needed.
- Lead donor communication projects in conjunction with our marketing team from creative brief through final approval and distribution, ensuring all deadlines are met. Review and proof all outbound partner-facing communications.
- Coordinate major partner events, including budget, logistics, vendor communication, timelines, and post-event reporting.
- Support ongoing partner initiatives such as new partner outreach, planned giving, lapsed partner campaigns, capital campaign efforts.
Partner Communication and Relations:
- Respond to and follow up with phone calls to partners requiring assistance with donations, event registration, credit card renewals, and giving opportunities.
- Manage follow-up related to partner contact information, in-kind donations, volunteer opportunities, and engagement pathways, ensuring timely and accurate record-keeping in Raiser's Edge database.
- Assist with MnTC Women’s Impact Foundation regular meetings; coordinate online meeting access; PPT agenda; meeting minutes; and follow-up.
- Attend and assist with fundraising and partner events.
- Assist with partner tours; connect partners with volunteer and mentoring opportunities, coordinate and follow up on gifts-in-kind.
Skills & Experience:
Required Skills & Experience (Minimum Qualifications):
- 3+ years of related administrative, fundraising, project coordination, or partnership support experience.
- High School Diploma or equivalent required.
- Proficiency in Microsoft Office Suite, Microsoft Teams, and Raiser’s Edge (preferred) or comparable CRM system.
- Ability to independently manage multiple priorities in a fast-paced environment with strong attention to detail and minimal supervision.
- Exceptional written and verbal communication skills. An approachable and humble servant’s heart to do what is needed at the time.
- Comfort and compassion in working within an environment of individuals facing life-controlling challenges, such as mental health issues and addiction.

Preferred Skills & Experience:
- Experience supporting senior leaders in a fast-paced, relationship-driven environment.
- Previous project management experience.
- Experience preparing reports, presentations, meeting materials, and professional correspondence.
- Workflow coordination across multiple teams.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift to 10 pounds at a time.
- This role operates on a hybrid schedule requiring four days per week on-site in the Minneapolis office location.
- Occasional local travel is required in support of partner events, galas, and department operational needs.
Target Compensation Range (Negotiable based on Qualifications):
$24.00-$27.00/hour
