About PHAME

PHAME is a fine and performing arts academy serving adults with intellectual and developmental disabilities (I/DD). Serving 200+ individuals per year through art classes, workshops, and a robust performance program, PHAME empowers students to learn new skills, take artistic risks, and build lasting relationships with people who share their experience of having a disability.

Established in 1984, PHAME is Portland's longest-standing arts nonprofit serving adults with I/DD. As a mid-sized organization, our small but mighty team includes eight-and soon to be nine-core staff and 20+ teaching artists. We are a tight-knit, collaborative team where every voice is valued.

Position Overview

  • Title: Development Coordinator
  • Location: PHAME Office, SE Portland (primarily in-person with occasional remote flexibility)
  • Reports to: Associate Director of Philanthropy
  • Type: Part-Time / Non-Exempt (22.5 hours/week)
  • Salary: $26/hour
  • Benefits:
  • Four weeks of vacation (accrued monthly), increasing with tenure
  • Paid holidays when a holiday falls on a scheduled workday
  • Schedule:
  • Tuesday-Thursday, 9 AM - 5 PM (30-minute unpaid lunch).
  • Some additional hours may be required during gala season and for special events, including occasional evenings and weekends.

The Development Coordinator plays a key role in sustaining these relationships by ensuring that our fundraising operations run smoothly, our donor data is accurate and actionable, and our supporters feel acknowledged and valued.

In this role, you'll help bring structure and care to the behind-the-scenes work that makes fundraising successful-from managing donor records to supporting events and stewardship efforts. Your attention to detail and follow-through will directly support PHAME's ability to grow, connect, and thrive.

Key Responsibilities

Data & Donor Stewardship

  • Serve as the primary steward of PHAME's donor database (Neon CRM), maintaining accuracy, organization, and integrity of records
  • Generate reports and insights to support fundraising strategy and decision-making
  • Process gifts, track pledges, and ensure timely, accurate acknowledgments
  • Support donor stewardship through consistent data entry and weekly gratitude communications
  • Execute data cleanup and organization projects

Event Support

  • Manage event ticketing systems (Neon and Greater Giving), including setup, tracking, reporting, and customer support
  • Assist with sponsor coordination, invoicing, and materials collection
  • Support event check-in, ticket sales, and guest communications
  • Collect and compile audience data for reporting and grant support

Administrative Support

  • Provide mailing support for appeals and invitations
  • Maintain organizational listings (e.g., GuideStar, Charity Navigator)
  • Assist with day-to-day administrative needs, including ordering supplies and coordinating food for meetings and events
  • Support merchandise sales and inventory tracking
  • Retrieve mail and assist with general office coordination

What You Bring

We're looking for someone who is organized, dependable, and collaborative, with strong interpersonal awareness and a desire to grow. Ideal candidates will bring:

  • At least one year of relevant experience
  • Strong organizational skills and attention to detail
  • Ability to prioritize tasks, take initiative, and follow work through to completion
  • Sound judgment in professional interactions, with sensitivity to tone and context across diverse audiences
  • Dependability and strong listening skills, with consistent follow-through on responsibilities
  • A collaborative mindset and experience working as part of a team
  • Motivation to learn new systems and skills through research and practice
  • A commitment to the belief that art is for everyone

Preferred (but not required)

  • 2-3 years of relevant experience
  • Experience with Neon CRM, Greater Giving, or similar systems
  • Experience in the arts sector or working with people with I/DD
  • Reliable transportation for occasional local travel (mileage reimbursed)
