Position Overview
The Development Operations & Database Coordinator drives the operational efficiency, data integrity, and reporting accuracy necessary to achieve our organization's financial goals. In this role, you will maintain the security and precision of our donor database customer relationship management (CRM) system, process all philanthropic gifts, and generate the data-driven insights needed to fuel our fundraising strategies..
This full-time non-exempt role reports to the Senior Manager, Development Operations and Events.
Key Responsibilities
Gift Processing, Donor Acknowledgement, & Stewardship Operations
- Perform accurate entry and tracking for donations, pledges, and event-related revenue.
- Reconcile monthly fundraising activity reports with the finance and development teams.
- Manage the end-to-end acknowledgement process.including tax receipts and messaging.
- Support operational fulfillment of donor benefits including donor memberships within Ticketure and maintain donor recognition pipelines (signage, website updates, and donor walls).
- Respond to routine inquiries via shared development inbox while providing excellent customer service.
Reporting & Analytics
- Generate routine fundraising reports, financial summaries, and constituent lists to support solicitations, stewardship mailings, and event invitations.
- Provide ad hoc data requests to gift officers, ensuring timeliness, accuracy, and clear documentation of methodology.
Database Administration & Data Integrity
- Serve as a primary fundraising data point of contact for our CRM (Humanitru); establish data entry standards, audit records for accuracy, and merge duplicate accounts.
- Support data integrity, ensure patron contact preferences, opt-outs, and communication restrictions are properly mapped and maintained.
- Assists Gift Officers with keeping our internal moves management system updated, ensuring donor pipelines and solicitor assignments are accurately tracked.
Event Support & Registration Logistics
- Support registration and onsite pledge collection at major events, including training and managing staff/volunteers supporting these functions.
Requirements and Skills
- Bachelor’s Degree in business administration, information systems, non-profit management, communications, or finance/accounting. Or equivalent professional experience and education.
- 2–4 years of relevant experience in fundraising operations, gift processing, or database management.
- Demonstrated proficiency with donor tracking systems, Humanitru and Ticketure is highly preferred.
- Knowledge of Microsoft Excel and Google Suite with proven experience in building reports and analytic dashboards.
- Attention to detail and experience with data entry accuracy, organizational skills, and a proven ability to manage strict reporting deadlines.
- Excellent written and verbal communication skills; ability to collaborate cross-departmentally and handle confidential financial data with absolute discretion.
Working Conditions and Schedule
- This is an on-site role with the possibility of flexibility for working two (2) days at an alternative work location. Flexibility will vary depending on the needs of the job.
- Working occasional evenings and weekends will be required.
