Overview:

We're Hiring: Diagnostic Service Program Administrator (All applicants must currently reside in Dallas/Fort Worth area)

 

Location: Behavioral Innovations | Current office in Addison, TX (Relocating to West Plano - Park/Tollway – July 2026)

Role Type: Hybrid - First 90 days in office 5 days a week, with transition to hybrid schedule based on performance (3 Office - 2 WFH)

Position details: Full-Time | Monday-Friday 8:00 AM - 5:00 PM

Your Role and What You'll Do:

 

We are seeking a highly organized, analytical, and proactive Diagnostic Program Administrator to support the operational success of our Diagnostic Services Program. This role serves as a key partner to the Director of Diagnostic Services and provides administrative, operational, reporting, and workflow support across the program. The ideal candidate thrives in a fast-paced healthcare environment, is highly detail-oriented, and can effectively manage multiple priorities while supporting operational efficiency, clinical readiness, and revenue cycle activities. This individual will play an important role in identifying trends, monitoring performance metrics, supporting workflow improvements, and helping ensure a positive patient and provider experience.

 

Responsibilities:

  • Operational & Program Support
    • Track and monitor key performance indicators (KPIs) for individual, departmental, and program performance.
    • Analyze operational data and generate reports, dashboards, and trend analyses using Excel and other reporting tools.
    • Support forecasting, workflow tracking, and operational organization across the program.
    • Assist with the development and maintenance of standard operating procedures (SOPs) to drive consistency and efficiency.
    • Identify operational risks, workflow concerns, and process gaps, escalating issues appropriately to leadership.
    • Coordinate team engagement initiatives and support a collaborative team culture.
    • Manage office supplies and facility resources while maintaining cost-conscious purchasing practices.
    • Support patient and family interactions to help ensure a positive experience and timely resolution of concerns.
  • Revenue Cycle Management Support
    • Assist with claims review to support timely submission and reimbursement processes.
    • Review Explanation of Benefits (EOBs) and support reimbursement tracking activities.
    • Monitor payer policy updates, authorization requirements, and reimbursement-related changes.
    • Partner with leadership to identify and address operational barriers impacting reimbursement workflows.
    • Generate reimbursement and operational reports for leadership review.
    • Support escalations related to authorizations, denials, and reimbursement concerns.
    • Maintain working knowledge of diagnostic testing codes and payer-related processes.
  • Clinical Support
    • Ensure clinician resources, assessments, and program materials are organized and prepared.
    • Support clinicians in maintaining diagnostic timelines and workflow readiness.
    • Track and report on clinical metrics including diagnosis rates, cancellations, clinic utilization, and operational performance.
    • Assist with clinical workflow coordination and operational follow-through.
    • Support compliance with clinical protocols, reporting timelines, and audit processes.

 

What We're Looking For:

 

Qualifications:

  • Bachelor's degree or relevant work experience. 
  • Minimum of 3 years of experience in healthcare administration or analysis. 
  • Demonstrated experience in operations management and performance optimization. 
  • Knowledge of behavioral or mental health services strongly preferred. 
  • Familiarity with Salesforce, PracticeQ, or other EHR/CRM systems strongly preferred. 
  • Understanding of medical billing, ICD-10 coding, and payor requirements 
  • Proficiency with the full Revenue Cycle process and ability to create efficient processes. 
  • Ability to synthesize data and support performance improvement initiatives. 
  • Proficient in the use of excel and Power BI. 
  • Strong organizational, analytical, and interpersonal skills. 
  • Excellent verbal and written communication skills, with a professional presence. 
  • Comfortable working in a fast-paced, mission-driven, rapidly growing organization.
