Job Description Summary:
Oversee all aspects of facilities management and workplace services across Mason's School of Business and serve as a subject matter expert for facilities and workplace services.

Bachelor's degree required or related technical school degree and significant or extensive professional level of experience or specialized expertise
Significant experience in facilities maintenance/engineering with several years at a managerial level.
Possesses a thorough understanding of Project Management procedures and process.
Must have knowledge of Construction Contracts, Construction Documents and Project Administration.
Knowledge of construction means and methods required.
Knowledge of all life safety, mechanical, and electrical equipment and systems required.

MBA or other pertinent advanced degree
Experience and ability to compile comprehensive project estimates and budgets

Job Duties:
40% Building Operations:
Monitors the operation of building, building systems and equipment to ensure proper, efficient operations.
Provides direction for building repairs and alterations while assuring continuous maintenance and operation of equipment.
Develop, monitor, and enforce the department policies, processes, and procedures
Responsible for the day-to-day operations of the department.
Recruitment, training, scheduling, supervision and performance of department personnel.
Develop and maintain accurate floor plans.
Coordinate all external and internal office relocations
Leads onboarding of faculty and staff to MSOB facility operations, including building systems, service request processes, space use policies and event procedures.
Serves as the primary point of contact for building occupants, providing guidance on facility operations, policies and services.
Oversees building access control, including coordination of key and card access, and works in partnership with campus security to ensure building safety and security protocols are maintained.
Communicates proactively with faculty, staff, students, and external partners regarding facility impacts such as maintenance activities, outages and scheduled events.
Develop and oversee event policies for all student, staff, faculty and outside group events
Ensure appropriate and timely setup and tear-down for all events mainly occurring in large open spaces or in the multi-purpose room. Requires coordinating with events coordinator, housekeeping supervisor, A/V technician, and housekeeping staff on a frequent basis.
Coordinate event scheduling, planning and execution with internal departments and external event managers, including logistics, vendor coordination, space readiness and post event reset.
30% Project Management:
Develops integrated and long-range strategy for facilities planning and construction.
In partnership with other leaders across the School, develops a long-term vision for space planning, including density planning, technology integration, optimal user experience, and sustainability.
Coordinates with W&M Emergency Preparedness to develop, implement, and maintain building specific emergency response and continuity plans.
Works with W&M to establish contingency planning and emergency response procedures to minimize the business affect in the event of the interruption of critical utilities and equipment.
Develops internal relationships across the School to coordinate and influence issues related to infrastructure capacity and future plans for such capacity.
Brings innovative space ideas to fruition yet working in partnership with Procurement to develop cost-saving economies of scale.
Develop and be accountable for facilities operating budgets, capital budgets and forecasts
Act as a Project Manager or collaborate with W&M Project Managers and local leadership to successfully deliver Tenant Improvement projects, re-stacks and refurbishment projects jobs in progress and at completion to ensure standards of workmanship, budget and safety are met.
Solicits and manages bids for office furniture, equipment, security and office cleaning services.
Manages vendor and contractor performance, ensuring compliance with university and procurement standards, requirements and service expectations.
Develop and oversee Miller Hall pricing policies for all events in Miller Hall, including invoicing and creating and securing contracts with outside groups
Manages Building Reserve Fund (sinking fund) and generates positive revenue streams by coordinating with campus conference service and internal campus units.
Tracks and analyzes key operational metrics to support data driven decision making and continuous improvement
20% Property Maintenance:
Responsible for the upkeep and aesthetics of the property.
Continual inspections of the property, both inside and outside noting deficiencies.
Develop, schedule, and control maintenance for systems and equipment.
Establishes and maintains the Preventative Maintenance to maintain maintenance standards. Ensures maintenance programs are prepared for three year horizons.
Immediately collaborates with operational departments to address facility issues which may affect student, faculty or staff service, efficiency or safety
Applies knowledge of maintenance and construction means and methods to effectively prioritize and oversee repairs, upgrades, and system performance.
Coordinates closely with Facilities Management, IT, contractors, and vendors to ensure timely, cost-effective maintenance and repair solutions.
Supports sustainability and energy efficiency initiatives related to building systems and operations.
10% Performance Management:
Expectations are clear, well communicated, and relate to the goals and objectives of the department or unit.
Staff receives frequent, constructive feedback, including interim evaluations as appropriate.
Staff has the necessary knowledge, skills, and abilities to accomplish goals.
The requirements of the performance planning and evaluation system are met, and evaluations are completed by established deadlines with proper documentation. Performance issues are addressed and documented as they occur.
Safety issues are reviewed and communicated to ensure a safe and healthy workplace
Ensures staff are trained in facility operations, event support, safety procedures, and customer service expectations.
Promotes a service-oriented, customer-focused culture that supports faculty, staff, students, and external clients.
Reinforces staff roles in emergency preparedness and ensures readiness to respond to building incidents.
