Position Title: Director of Advancement Services

Reports to: VP Philanthropy & Alumni Relations

Supervises: Assistant Director for Annual Giving, Gift Processing specialist

Primary function: The Director of Advancement Services provides leadership and oversight for the systems, processes, data management, reporting, and gift administration functions that support the College’s fundraising, alumni engagement, and stewardship efforts. As a key member of the Philanthropy & Alumni Relations team, the Director ensures the integrity and effective use of constituent data, delivers actionable fundraising analytics, and supports the College’s mission through exceptional donor service and operational excellence. Working in a collaborative and mission-driven environment, the Director serves as the primary administrator of the College’s advancement database and is responsible for gift processing, donor records management, reporting, prospect research support, and data-driven fundraising operations.

Required Qualifications:

  • Experience in higher education or other non-profit advancement.
  • Experience with fundraising CRM systems such as Raiser’s Edge, Colleague Advancement, Slate for Advancement, or similar platforms.
  • Knowledge of fundraising principles, donor stewardship practices, and advancement services operations.
  • Familiarity with CASE reporting standards and best practices.
  • Experience with prospect research tools and wealth screening resources.
  • Strong analytical, organizational, and problem-solving skills.
  • Demonstrated attention to detail and commitment to data accuracy.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to manage multiple projects and priorities in a collaborative environment.
  • Commitment to supporting the mission and values of a Catholic liberal arts college.

Education:

  • Bachelor’s degree from an accredited institution.

Experience:

  • Three to five years of progressively responsible experience in advancement services, development operations, fundraising, database administration, or a related field.
  • Experience managing constituent databases and generating reports.

Essential duties:

  1. Serve as the primary administrator of the College’s constituent relationship management (CRM) system.
  1. Establish and maintain standards for data entry, record management, and database integrity.
  2. Perform regular audits to ensure accuracy, completeness, and consistency of constituent records.
  3. Manage database imports, exports, queries, and list generation.
  4. Provide training and support to Advancement staff regarding database use and best practices.
  5. Oversee the timely and accurate processing of gifts, pledges, matching gifts, and other philanthropic contributions.
  6. Ensure proper gift documentation, acknowledgment, and receipting procedures.
  7. Reconcile gift records with the Business Office and maintain appropriate audit controls.
  8. Ensure compliance with College policies, IRS regulations, and applicable CASE standards.
  9. Develop and maintain reports, dashboards, and analytical tools to support fundraising strategy and decision-making.
  10. Prepare regular fundraising performance reports for Advancement leadership, senior administration, and the Board of Trustees.
  11. Track key performance indicators, including donor participation, retention, campaign progress, and fundraising outcomes.
  12. Analyze donor trends and provide recommendations to improve fundraising effectiveness.

Other duties:

  1. Conduct prospect identification and preliminary research to support major gift cultivation efforts.
  2. Coordinate wealth screening initiatives and prospect management processes.
  3. Prepare prospect profiles, briefing materials, and donor research summaries.
  4. Support portfolio management and moves management activities.
  5. Develop and document policies and procedures that promote efficient advancement operations.
  6. Coordinate with Information Technology and other campus departments regarding data integration and system support.
  7. Assist in the planning and implementation of fundraising campaigns and special initiatives.
  8. Manage relationships with external vendors providing advancement-related services.
