Department Overview

Advancement Services provides the general infrastructure to the Division of College Advancement and its enterprise system. Key functions of this department are to facilitate the gift processing, constituent tracking, relationship management, fund management, reporting and stewardship. All of these activities largely position the external-facing colleagues - fundraisers, college relations and alumni affairs staff - for success in developing relationships with donors, prospects, volunteers and other college supporters.

Position Overview

The Director of Analytics and Data Administration is a critical leadership role responsible for the integrity, accessibility, and strategic use of constituent data to drive fundraising effectiveness. This position bridges the gap between technology, data management, and the tactical needs of the development staff.

Responsibilities:

  • Oversee all system integrations with the primary Constituent Relationship Management (CRM) system, Raiser''s Edge. This includes managing data flowing in from auxiliary systems (e.g., event management, online giving platforms, finance systems) to ensure seamless and accurate data transfer.

  • Act as the technical lead for major CRM upgrades, conversions, and implementation projects.

  • Establish and enforce Standard Operating Procedures (SOPs) for data entry, gift processing, data hygiene, and report generation across the entire College Advancement division

  • Recommend and make decisions on data alignment, defining standardized fields, validation rules, and naming conventions to ensure consistency and quality across all records.

  • Lead initiatives to cleanse and enrich data, ensuring records are accurate and up-to-date for effective solicitation.

  • Produce complex fundraising reports and dashboards for all levels of management, including prospect pipeline analysis, campaign performance, annual giving metrics, and donor retention rates.

  • Translate raw data into actionable insights for the AVP and other Advancement leaders, guiding strategic planning and resource allocation.

  • Develop and implement system workflows within the CRM (Raiser''s Edge) to streamline and support the Development team''s day-to-day operations. This includes automating processes for prospect assignment, moves management, solicitation tracking, and acknowledgment queues.

  • Provide advanced training and documentation to staff on data best practices and efficient system usage.

  • Other duties as assigned by the ED and senior leadership to meet the requirements of overall department needs.

Required:

  • Graduated from an accredited college with a Bachelor''s degree
  • The Director ensures this work adheres to best practices, financial compliance, and data quality standards.
  • Ensures that the CRM is technically robust (via the Administrator) and that the data within it is accurate and consistent (via the Processor), enabling the entire Advancement team to make informed, data-driven decisions.
  • Expert-level knowledge of Raiser''s Edge (or comparable advanced CRM), including data architecture, gift processing, constituent management, reporting, and best-practice data governance.
  • This role requires a unique combination of technical proficiency (especially with Raiser''s Edge or similar CRM), leadership, and analytical thinking to transform data into the knowledge needed to maximize fundraising potential.
  • Advanced proficiency in Microsoft Excel, including complex formulas, pivot tables, data modeling, validation, and large-dataset analysis for executive-level reporting and decision support.
  • Demonstrated experience managing and optimizing third-party system integrations, such as online giving platforms, alumni/engagement systems, event management tools, financial systems, and data enrichment vendors.
  • Strong background in advancement reporting and analytics, including campaign reporting, pipeline and performance dashboards, donor behavior analysis, forecasting, and ad hoc executive reporting.
  • Experience partnering with frontline fundraising, finance, IT, and leadership, translating business needs into scalable data solutions and actionable insights.
