Director of Intake – ABA

Position Overview
We are seeking an experienced Director of Intake to lead and optimize the patient intake function for a rapidly growing Applied Behavior Analysis (ABA) organization.
This leadership role is responsible for overseeing the intake team, improving patient access, increasing referral-to-admission conversion, and ensuring a seamless experience for children and families from initial inquiry through the start of services.
Working closely with Clinical Operations, Marketing, Staffing, Credentialing, Revenue Cycle Management (RCM), Finance, and Business Intelligence, you'll drive operational excellence, improve access to care, and support the organization's continued growth.
Ideal Candidate
We're looking for a strategic, hands-on healthcare operations leader with experience managing patient intake, admissions, or patient access within a multi-site healthcare organization.
The ideal candidate has a proven track record of leading high-performing teams, improving operational performance through KPIs, building scalable processes, and creating an exceptional patient and family experience. Experience within ABA, behavioral health, home health, pediatric healthcare, or another healthcare setting is strongly preferred.
Key Responsibilities
- Lead, coach, and develop a team of Intake Representatives.
- Foster a culture of accountability, collaboration, and exceptional patient service.
- Serve as the primary escalation point for complex intake matters.
- Oversee all inbound patient inquiries and referral channels.
- Ensure timely outreach, patient qualification, and seamless transitions from inquiry through admission.
- Manage the intake pipeline to improve responsiveness, scheduling, and referral-to-admission conversion.
- Partner with Marketing and Outreach to maximize qualified lead conversion while maintaining a patient-centered experience.
- Standardize and continuously improve intake workflows and processes.
- Monitor departmental KPIs, identify operational bottlenecks, and implement corrective action plans.
- Ensure accurate documentation, compliance, and consistent execution of departmental standards.
- Utilize reporting and analytics to improve efficiency and support informed decision-making.
- Partner closely with Clinical Operations, Staffing, Credentialing, Revenue Cycle Management (RCM), Marketing, Finance, and Business Intelligence to streamline patient onboarding and support organizational growth.
- Develop future leaders through coaching, mentoring, and succession planning.
Qualifications

- Experience within healthcare, behavioral health, ABA, or a related field.
- Proven experience leading and developing high-performing teams.
- Strong leadership, communication, and problem-solving skills.
- Experience using CRM, EMR, or patient management systems.
- Demonstrated ability to analyze KPIs and improve operational performance.
- Proficiency with Microsoft Office, particularly Excel.
- Passion for delivering an exceptional patient and family experience.
