Director of Sales and Marketing Ops

The primary role of the Sales & Marketing Operations Director at Spherix Global Insights is to be responsible for leading the strategy, processes, technology, and analytics of the company's sales and marketing departments to boost revenue and team efficiency. This role will ensure seamless collaboration across revenue-producing departments and contribute to the success of sales and marketing initiatives by standardizing workflows and processes, accurately forecasting performance, and analyzing data to inform leadership. Candidates local to the Exton office will be required to work a hybrid schedule, but this position can be fully remote as well. Key ResponsibilitiesCRM & System Strategy

• Oversee the implementation, configuration, and daily operation of CRM systems (e.g., HubSpot) to align with business objectives.
• Provide training and support to team members on CRM usage and best practices.
• Evaluate CRM capabilities, configuration, and integrations periodically to ensure maximum visibility into sales activity.
• Collaborate with Finance, Sales, and Marketing departments to maximize CRM performance.
• Oversee marketing automation efforts.

Process Optimization & Best Practices

• Develop, standardize, and optimize sales and marketing processes to improve efficiency and predictability, including writing SOPs.
• Partner with the CRO to develop and roll out sales enablement materials and trainings.
• Identify bottlenecks in the sales pipeline and recommend solutions to enhance performance.
• Establish and scale best practices for sales efficiency, shortening the sales cycle and improving team performance.
• Oversee and optimize activity of Sales Operations Manager to increase productivity and add value to the sales process.

Data Analysis & Reporting

• Develop meaningful KPIs to improve visibility across the organization, monitor performance.
• Oversee creation of dashboards and reports, analyze data to create actionable insights.
• Partner with sales, marketing, and executive leadership to develop and align forecasting models with industry trends.
• Analyze ROI on marketing spend and investments.

Strategic Planning

• Partner with leadership on sales planning initiatives, including Territory Planning, Capacity Planning, Publication Planning, and Quota Planning.
• Collaborate with marketing and insights teams to integrate findings into sales strategies.
• Connect sales, marketing, and finance departments to ensure smooth go-to-market execution.

Performance Metrics

• Ensure revenue targets are met by tracking actual performance against full-year goals and continuously identifying risks/opportunities to the fiscal plan throughout the year.

Contract Administration

• Oversee contract administration and serve as the point of contact for clients from a Procurement/Legal perspective.
• Ensure contracts align with the sales pipeline, forecasts, and account strategies.

• Oversee deal management via HubSpot workflow, processes and associated Master Data, MSA and SOW receipt, review, storage, reference, and other tasks as required to internal stakeholders in their day-to-day management of Deals.

Education & Experience

• Bachelor’s degree in Business Administration, Marketing, or a related field; advanced degree preferred.
• 5+ years of experience in sales & marketing operations, CRM management, or a related field, preferably in market research or life sciences/biopharma industries.
• 3+ years of experience managing a team.
• Proven experience managing multidisciplinary teams and working with executive stakeholders.

• Proficiency in Hubspot and analytics tools (e.g., PowerBI, Tableau).
• Proficiency in using AI tools such as ChatGPT or Claude to improve processes and efficiencies.
• Proficiency in Microsoft Excel.
• Strong understanding of data analysis, forecasting, and sales reporting methodologies.

• Exceptional analytical and problem-solving abilities.
• Strong project management skills, including planning and execution of sales initiatives.
• Excellent verbal and written communication skills for effective collaboration and reporting.
• Customer-focused mindset with a deep understanding of customer behaviors and segmentation.
• Ability to work in a fast-paced, results-driven environment with a detail-oriented approach.
