Position Title: Director of Student Accounts Bursar FTE: 1.0 (40hrs./week; 12-months) Department: Business & Finance Reports To: Vice President for Finance FLSA: Exempt
This position promotes and supports the learning experience of Marian University students by ensuring the accuracy of all charge and credit entries on the student billing account, as well as the overall account balance. This position supervises the Student Accounts Assistant, student workers and interns.
Essential Functions:
Manage Student Accounts - 75%
- Administer and oversee student account operations, including billing, assessments, cash receipts, payment processing, account adjustments, and account reconciliation.
- Serve as the primary liaison with third-party payment plan providers, tuition insurance vendors, collection agencies, and external funding sources, including implementation, reconciliation, issue resolution, and reporting.
- Maintains the integrity of the Student Accounts system to assure compliance with all federal, state, and institutional policies. To include monitoring, reconciling, and recording federal, state, private, and institutional financial aid funding received through university banking systems.
- Calculate and process specialized student charges, benefits, and payments, including VA Educational Benefits, ROTC, AmeriCorps, tuition remission, study abroad programs, medical withdrawals, and book charges.
- Manage student account holds, alerts, notes, communications, and collection activities to support timely payment and compliance with university policies.
- Coordinate with Financial Aid, Registrar, Academic Affairs, Human Resources, Payroll, IT, and other departments to ensure accurate student account management and regulatory compliance.
- Ensure compliance with institutional, state, and federal regulations, including FERPA, Title IV, and student financial responsibility requirements.
- Invoice and collect payments from external organizations, agencies, and sponsors, including ECCP partners, 529 plans, tribal grants, and military programs.
- Support student financial wellness by assisting with payment options, financial procedures, and account inquiries, including participation in new student registration and orientation programs.
- Review graduating student accounts, communicate outstanding financial obligations, and coordinate with university departments to ensure graduation eligibility requirements are met.
- Maintain and update the University Student Financial Responsibility Agreement and ensure accessibility and compliance for all students.
- Collaborate with Information Technology to maintain, test, troubleshoot, and improve student account and payment systems.
- Maintain petty cash funds and perform related reconciliations in accordance with university financial procedures.
Reporting and Administrative - 20%
- Reconciles receivable monthly, quarterly and annually.
- Responsible for all tasks of preparation and issue of Form 1098-Ts
- Works closely with other College departments to resolve financial issues, provides recommendations to improve cash flows and supervises cashier operations.
- Reviews and updates the pages of the Academic Bulletin that relate to billing, payments, refunds, and other Business Office items to assure proper publishing of business office policies and procedures.
- Support the student orientation and other student-centered events. Some student events operate on weekends and will require in person attendance.
- Maintains a positive work environment by cooperating in a professional manner with the University community.
Supervision Responsibilities
- Student Accounts Assistant and student workers and interns.
Other Responsibilities:
- Other work-related duties as assigned by the supervisor.
Education, Experience, and Skills Required:
- Bachelor's Degree in Accounting or related field. Five years of relevant experience. A combination of education and experience may be considered.
- Clear understanding of account processes.
- Demonstrated knowledge and proficiency on a variety of computer applications.
- Strong oral and written communication skills.
- Strong analytical and organizational skills.
- Ethical comportment and high regard for confidentiality.
- Ability to communicate throughout the organization with effective interaction across departmental boundaries
- Provide professional, responsive, and courteous service to customers by addressing inquiries, resolving issues, and building positive relationships to ensure a high level of customer satisfaction.
- Ability to incorporate financial aid into the overall enrollment strategies for the University.
