Job Description

SUMMARY

This position is responsible for the leadership, management, and execution of the registration for NCBA events including the Cattle Industry Convention, Summer Business Meeting, and other NCBA meetings as needed. Additionally, this position serves as a key member of the meetings team responsible for the planning, coordination, and management of the Cattle Industry Convention, Summer Business Meeting, and other NCBA meetings. This position functions as the lead authority on NCBA registration and housing systems, registration policies, procedures, customer service, and onsite registration operations. The Director oversees vendor relationships, registration planning and execution, onsite staffing, and operational processes related to registration. Additionally, this position manages several small meetings throughout the year and contributes to the continued improvement and effectiveness of NCBA event operations.

 

ESSENTIAL FUNCTIONS

An employee in this position may be called upon to do any or all the following essential functions. These examples do not include all the functions which the employee may be expected to perform.

 

  • Leads the planning, implementation, and continuous improvement of NCBA’s registration and housing practices and procedures for Convention, Summer Business Meeting, and other NCBA meetings as needed.
  • Directs all registration-related event details for the Cattle Industry Convention, Summer Business Meeting, and additional NCBA events.
  • Oversees registration operations onsite, including management of NCBA staff, temporary personnel, and vendor partners serving within the registration function.
  • Serves as the primary point of contact and subject matter expert for registration and housing operations internally and externally.
  • Leads management of official housing, registration suppliers, and related vendor partnerships.
  • Responsible for management of several suppliers for the Cattle Industry Convention including the RFP process, contract negotiations, budgeting, and onsite management.
  • Develops operational procedures, timelines, and processes to support successful execution of registration and housing functions.
  • Serves as lead or team captain for registration-related tactical events and initiatives within NCBA meetings.
  • Collaborates with internal departments, stakeholders, exhibitors, sponsors, and vendors to support successful event operations.
  • Assists as needed with logistical aspects of NCBA events including transportation, lodging, and attendee experience initiatives.
  • Manages additional small meetings outside of Convention.
  • Some travel is required and may be extensive at times, including weekends (sometimes early/late hours)
  • Weight Lifted/Force Exerted: Up to 50 pounds: Up to 1/3 of time
  • Other job duties as assigned.

 

MINIMUM QUALIFICATIONS 

  • EDUCATION – Bachelor’s degree in hospitality, event management, business administration, or a related field.
  • EXPERIENCE   Minimum 7-10 years of convention and meeting planning experience.  Registration and/or housing systems experience helpful.

  • SKILLS- Excellent communication, collaboration and customer service skills.  Individual must be innovative and possess excellent coordination skills.  Develop proficiency in Microsoft office products (especially word, excel, and PowerPoint), basic accounting/cash controls, basic html coding and general computer systems administration to ensure efficient and effective registration and housing processes.  Strong attention to details and ability to positively impact team environment.
