What You'll Do

As a Service Dispatcher, you'll serve as the communication hub between customers and technicians, ensuring schedules are optimized while delivering an exceptional customer experience from the first phone call through job completion.

Responsibilities include:

  • Answer incoming customer calls with professionalism, empathy, and urgency

  • Schedule service, maintenance, and installation appointments

  • Dispatch technicians efficiently based on location, skill set, urgency, and schedule availability

  • Monitor technician progress throughout the day and adjust schedules as needed to maximize efficiency

  • Communicate appointment confirmations, delays, and schedule updates with customers

  • Coordinate return visits, warranty work, maintenance agreements, and follow-up appointments

  • Maintain accurate customer records, work orders, and scheduling information within company software

  • Support technician productivity while balancing customer expectations and business priorities

  • Work closely with service managers and technicians to ensure smooth daily operations

  • Assist with general office and administrative responsibilities as needed

Qualifications

  • Two or more years of dispatching or scheduling experience, preferably in the HVAC, plumbing, electrical, or home services industry

  • Strong customer service and conflict-resolution skills

  • Excellent communication and interpersonal abilities

  • Proven ability to manage multiple priorities in a fast-paced environment

  • Strong organizational skills with exceptional attention to detail

  • Experience using dispatching, scheduling, CRM, or service management software

  • Comfortable coordinating multiple technicians and adjusting schedules throughout the day

  • Strong computer skills and ability to quickly learn new software

  • Ability to remain calm, professional, and solutions-focused under pressure

Education and Experience

High school diploma and/or equivalent. Prefer a minimum of 6 months of previous experience as a dispatcher.
