Office Support Coordinator (Distribution Center)

Location: Houston, TX 77032
Schedule: Monday – Friday, 7:30 AM – 4:30 PM (1-hour lunch)
Employment Type: Temp-to-Hire

Position Summary

We are seeking a detail-oriented Office Support Coordinator to provide clerical and administrative support for a Regional Distribution Center. This position plays a key role in ensuring efficient shipping, receiving, inventory, and safety operations. Cross-training is an important part of this role, and the selected candidate should be willing to learn and support all office functions as needed.

This is primarily an office-based position with minimal time spent in the warehouse. Occasional Saturday overtime may be required based on shipping schedules.

Key Responsibilities

Administrative & Clerical Support

  • Maintain logs, reports, documentation, and operational records.
  • Support audit processes, SOX controls, and performance metrics to minimize shipping and picking errors.
  • Assist with various administrative projects as assigned.

Shipping, Receiving & Logistics

  • Process shipping and receiving documentation.
  • Create and maintain Bills of Lading (BOL).
  • Monitor inbound shipments and accurately record arrival, duration, and departure times.
  • Notify management of potential detention charges and resolve inbound documentation discrepancies.
  • Manage will-call orders, UPS shipments, and LTL freight.

Inventory & Vendor Support

  • Update inventory and logistics information in company databases.
  • Initiate vendor and in-transit freight claims for damaged products or shipping discrepancies.
  • Determine appropriate disposition of damaged products.
  • Monitor and report non-conformance involving SOPs, packaging, vendor cross-references, and UPC issues.

Safety & Compliance

  • Coordinate safety training, documentation, communications, and required postings.
  • Maintain compliance with OSHA regulations and corporate safety requirements.
  • Support SOX compliance through accurate documentation and recordkeeping.

Customer Service

  • Serve as a liaison between customers, warehouse personnel, and logistics teams.
  • Respond to internal and external customer inquiries.
  • Resolve order, shipment, and documentation issues in a timely manner.

Qualifications

Required

  • High school diploma or equivalent.
  • Minimum of 2 years of clerical, administrative, logistics, customer service, or distribution center experience.
  • Strong customer service and communication skills.
  • Proficiency with Microsoft Office Suite, including:
    • Excel
    • Word
    • PowerPoint
  • Experience with general office systems and applications, including fax and EDI.
  • Strong organizational skills with excellent attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Willingness to cross-train and support multiple office functions.

Preferred

  • Bachelor's degree or equivalent combination of education and experience.
  • Distribution, warehouse, or logistics experience.
  • HVAC industry experience.
  • Experience using SAP, including running queries.
  • Knowledge of shipping, receiving, inventory control, and freight documentation processes.
