District Student Records Lead (26-27 SY) – Performance Outcomes & DataJob Title: District Student Records LeadWage/Hour Status: NonexemptReports To: Coordinator of Data GovernanceDepartment: Performance Outcomes & DataPrimary Purpose: Provide training and assistance to campus records clerks in the management and digitization of student records.QualificationsHigh‑School diploma and advanced clerical training, and/or an associate degree, or an equivalent combination of education and experience.Demonstrate knowledge of related federal, state, and local laws, codes, and regulations.Demonstrate the ability to be detail‑oriented, dependable, and trustworthy.Demonstrate the ability to function independently with minimal supervision.Demonstrate the ability to prioritize, manage time well, multitask, and troubleshoot.Demonstrate the ability to communicate and interface effectively with all levels of district personnel and the public.Demonstrate organizational, communication, and interpersonal skills required to achieve the goals of the position.Demonstrate working knowledge of research and report preparation methods and techniques.Demonstrate the ability to apply methods, practices, and terminology used in automated databases and filing systems.Demonstrate computer skills, specifically with MS Windows, MS Office Professional, and Google Workspace.Demonstrate knowledge of the use of office, document production, and warehouse equipment.Two (2) years of school district experience, preferably in student records or administrative support.Major Responsibilities and DutiesProcess and/or assist with all record requests received by the department in compliance with privacy laws.Provide regular feedback to the department supervisor regarding the status of projects or issues pertaining to the records management program.Assist management with system administration of the department's records management systems.Records RequestsProcess student records requests from various requestors in compliance with FERPA regulations and district policy.Assist campus and district staff with processing student record requests in compliance with FERPA regulations and district policy.Assist campuses with establishing proper student record protocols.Monitor campus and district TREx and external request software processes.Facilitate the transition from physical to digital record keeping.Records ManagementAssist and train campus staff in following district student record procedures.Maintain confidentiality and physical security of student records.Other DutiesExhibit behavior that is professional, ethical, and responsible and serve as a role model for staff and the public.Adhere to instructions and guidance from project leaders in a professional manner.Attend all related meetings as required.Maintain confidentiality of information.Perform other duties as assigned.Equipment UsedPersonal computer, printer, digital copier, fax machine, multi‑line phone system, scanners.Working ConditionsMental Demands: Maintain emotional control under stress; work with frequent interruptions; reading, concentrating, communicating (verbal and written); coordinating; compiling; copying; sorting; computing; summarizing.Physical Demands: Regularly required to sit; handle tools and equipment; communicate effectively; occasionally stand and walk; routinely lift and/or move up to 25 pounds; moderate noise; work around moving objects or vehicles with occasional exposure to temperature extremes and dust; routine travel within the district for deliveries, training, etc.Safety: Contribute to the prevention of accidents and injuries by observing safety rules and district policy, practicing the principles and skills taught in safety training, wearing personal protective equipment as required, reporting injuries and incidents immediately to supervisor, and being proactive in ongoing efforts to improve and maintain workplace safety.Legal DisclaimersInformation contained in this job description is for compliance with the Americans with Disabilities Act (ADA).
