Position Summary:
The District Swim Coordinator provides districtwide leadership, operational support, and meet coordination for KCPS swimming programs across three competitive seasons: High School Boys (Fall), High School Girls (Winter), and Middle School (Spring). The coordinator collaborates with district and school staff, coaches, facilities personnel, officials, and community partners to ensure safe, organized, compliant, and equitable opportunities for student-athletes.
What You''ll Be Doing: (Responsibilities)
Program Administration & Coordination
- Serve as the primary liaison between swimming coaches, school administrators, pool personnel, and the District Athletic Office.
- Coordinate districtwide swimming operations across all middle and high school programs, ensuring consistent communication, expectations, and program implementation.
- Organize preseason, in-season, and postseason meetings; communicate schedules, deadlines, procedures, and program updates.
- Maintain current contact information, program records, calendars, and operational documentation.
- Support equitable access to facilities, staffing, equipment, transportation, and competitive opportunities across all participating schools.
Event, Scheduling & Meet Operations Management
- Coordinate and maintain district swimming schedules, including regular-season meets, invitationals, conference competitions, and district-hosted events.
- Plan and oversee district-hosted swim meets, ensuring facilities, equipment, staffing, officials, safety personnel, and meet operations are organized and competition-ready.
- Coordinate meet logistics including facility use, participant information, worker assignments, timing systems, scoring procedures, results, and event communications.
- Monitor and resolve scheduling conflicts, operational issues, and facility concerns to ensure safe, efficient, and equitable event experiences for all participants.
Facilities, Equipment & Compliance Oversight
- Coordinate with Facilities, pool management, and district personnel to ensure swimming facilities meet operational and safety standards for practices and competitions.
- Assist with equipment purchasing, inventory management, distribution, maintenance, and replacement in accordance with district procedures.
- Monitor facility readiness, pool operations, emergency preparedness, equipment condition, and required certifications for district-hosted activities.
- Maintain documentation related to facility concerns, safety requirements, inspections, inventories, and corrective actions, and communicate compliance or operational issues to the District Athletic Office.
Compliance, Safety & Reporting
- Ensure compliance with all applicable district, conference, MSHSAA, and NFHS rules, regulations, eligibility requirements, certifications, reporting deadlines, and operational standards for middle and high school swimming programs.
- Promote safe and equitable participation by monitoring facility readiness, emergency procedures, safety equipment, student supervision, and event operations, while promptly reporting compliance concerns, incidents, injuries, or unsafe conditions to the District Athletic Director.
- Maintain required program records and provide regular reports regarding schedules, meet operations, staffing, facilities, equipment, inventories, participation, and program needs, including preseason readiness updates and end-of-season summaries and recommendations.
- Serve as a resource to coaches and district staff regarding program procedures and requirements while working within established district policies and recognizing the District Athletic Office as the final authority on compliance, interpretation, and communications with governing organizations.
Supervisory Responsibilities:
The Swimming Program Coordinator provides operational support and coordination for district swimming programs but does not supervise or evaluate personnel, make final eligibility determinations, approve expenditures, issue disciplinary actions or sanctions, certify facilities, or otherwise exercise administrative authority reserved for district leadership. All concerns related to personnel matters, student eligibility, purchasing, compliance, safety, or regulatory issues shall be referred to the District Athletic Director or appropriate district administrator for review and action.
To Be Successful at This Job, You''ll Need To: (Minimum Qualifications)
- Knowledge of particular sport (philosophy & coaching)
- Must successfully complete the MSHSAA /NFHS Coaching Principles Course and Sports First Aid Courses.
- A strong commitment to the student-athlete concept and working knowledge of all collegiate eligibility center regulations.
- Must have at least 2 years of experience swimming or coaching at a varsity level.
- Must have a valid lifeguard/CPR/First Aid certification.
