Job Summary and Qualifications

As a Division Claims Coordinator, you will perform collection and analysis of information and documents responsive to requests received from hospital law firms and investigators that pertain to medical malpractice and/or general liability claims. You must possess excellent organizational skills and be able to manage a high volume of requests from outside defense law firms/investigators. You must possess excellent communications skills and an understanding of hospital operations in order to coordinate activities with defense counsel, all levels of hospital administration, HCI personnel and the Division Claims Administrator to provide information to defense counsel and schedule hospital personnel for interviews, depositions, mediations, etc. You will actively participate in process analysis and be able to implement process improvement plans. You must be able to work autonomously and meet departmental goals and standards.

Job Responsibilities:

  • Review and timely process Task Request Forms (TRFs) as assigned.
  • Download new file documents including Medical Records, Visit History and Radiology History from accessible programs.
  • Email specific departments for items/information, when needed. Some examples include, but not limited to; Delineation of Privileges of Physicians, Employment Files, Credentialing Files, Surgical Schedules, Facility Maintenance documents, Surveillance footage, Radiology Imaging, Census Data, etc.
  • Download requested policies from the facilities’ Intranet.
  • Save all emails sent/ received to the respective files for future reference.
  • Receives requests for information and requests for hospital meetings/depositions from defense counsel and investigators.
  • Organizes and stores documents and other information received from a wide variety of hospital departments related to specific claims into a repository maintained by the DCCP Office. Examples include medical records, patient billing information, physician insurance information, credentialing or peer review data, contracts, and personnel records.
  • Upload documents to the Collaboration Portal in ELM Passport for Defense Counsel and/or Claims Managers to access for review.
  • Research and obtain employee contact information. Notify any employee of requested contact information prior to releasing such information to defense counsel or an investigator.
  • Set up conference rooms for defense counsel and staff members at the facilities, if requested
  • Develops and produces a variety of materials such as emails, letters, memorandums and reports as needed.
  • Assures accuracy and completeness of all TRF responses.
  • Abides by applicable HCI Claims Operating Procedures.
  • Manages phone, fax, printer, copier, and computer equipment for efficient office administration.
  • Informs supervisor of activities and any issues within assigned area of responsibility.
  • Establishes and maintains positive customer relationships.

Job Requirements:

  • Associates Degree is required
  • Bachelor’s Degree is preferred
  • 3+ years of experience in litigation support, hospital operations or physician office experience is required
  • Excellent verbal and written communication skills.
  • Proficient in keyboarding and Microsoft Office.
  • Experience in Meditech, HPF, Facility Scheduler, Artiva, OnBase, Acuity, Adobe a plus.
  • Experience in setting up/supporting web supported communications.
  • Experience and competency in communication with multi-level personnel, and dynamic work environments.
  • Ability to work both autonomously and within groups.
  • Working knowledge of medical malpractice claims process a plus.
  • Experience with Origami claims information system a plus.
  • Working knowledge of medical and legal terminology.
  • Ability to prioritize and simultaneously handle multiple projects with due dates.
  • Excellent time management skills.
