Position Summary:

The successful candidate will be a team player who enjoys collaboration to ensure that the leader and their team are functioning smoothly and efficiently. He/she will be highly organized and professional, resourceful, efficient, flexible and will thrive in a fast-paced environment. The ability to multi-task with excellent interpersonal communication skills is a must.

This role provides administrative support to the Vice President of Human Resources and Human Resources Team. May assist others with overflow work, including filing, word processing, data entry, and internet research tasks.

Support the department by entering Personnel Action Forms into the Infor system.

Generate report for monthly metrics and maintain huddle board for department

Assist with hiring and onboarding agency staff

Plan, coordinate and communicate employee events such as group meetings, off-sites, special functions and recognition events. This goes beyond inviting participants and booking rooms - the Assistant is also responsible for ensuring that objectives are clear and that preparation is appropriate.

Acts as back-up for front desk coverage

Schedule new manager training

Serve as a member of Department Council

Position Qualification:

Minimum of 4-6 years' experience supporting senior level management in an administrative capacity

Excellent customer service skills

Superior verbal and written communication skills

Highly attentive to detail

Exhibit pride in and enthusiasm in the work product.

Ability to communicate effectively with senior executives and their assistants

Listening skills; ability to understand assignments and complete them with little to no follow up from assigned leaders. Able to handle multiple tasks for multiple individuals

Excellent leadership and professional presence. Ability to work on assignments of moderate difficultly, requiring judgment in resolving issues or in making recommendations.

Ability to anticipate change, and to react efficiently and expeditiously.

High level of integrity; ability to handle confidential and sensitive information with discretion.

Excels under pressure, maintaining a calm demeanor.

Intermediate to Advanced proficiency in MS Office
