Document Control Specialist

Job Summary

The Document Control Specialist serves as an engineering and facility document librarian, providing superior customer service to document users. This role is responsible for drawing and technical document configuration management for the Facilities and Design & Engineering Divisions using the Electronic Data Management System (EDMS) and formalized document protocols and release procedures. The position involves accurate cataloging, indexing, storage, retrieval, and integration of engineering and facility documentation. It may also include engineering parts configuration management, supporting Engineering organizations and Data Management groups for parts research, selection, and management. Additionally, the role ensures turnover deliverables meet the IGDL-191042 Project Deliverables Turnover Process and the appropriate matrix processes associated with that standard and specific project teams.

Responsibilities

• Perform daily tasks with expected quality and accuracy control with minimal or no direction from management.
• Integrate and archive architectural and engineering drawings with minimal oversight, both online and in offsite storage facilities.
• Transfer metadata/drawing title block information from architectural and engineering drawings into EDMS during configuration management activities.
• Index CAD and other electronic files to metadata information, providing on-line and real-time auditing during configuration management activities.
• Ensure accurate integration and archival of facility and engineering documentation into EDMS, including the release of Engineering Communication Forms, Engineering Change Order part update configuration, Bulletins, and Design Directives.
• Maintain plotter maintenance and daily operations, including large format print orders and/or scan jobs when requested.
• Support special research projects for both domestic and international sites when instructed by management.
• Assist Project Teams and Project Engineers with documentation release procedures to eliminate duplicate efforts and minimize project costs.
• Perform release duties such as closing out ECOs, releasing ECFs, and accurately configuring pre-release Bills of Materials into EDMS.
• Independently manage project-level tasks related to a project's documentation release process, including time and charge number entries.
• Coordinate with Project Team members and Project Engineers to successfully release required deliverables at project turnover into EDMS.
• Serve as the point of contact for drawing configuration needs, including documentation research and other configuration management duties.
• Maintain a cross-trained skill set across all engineering disciplines with little supervision.
• Develop and maintain the AutoCAD library of purchased components with little supervision.

Required Qualifications

• Minimum of 3 years of work experience supporting Engineering or Architectural fields.
• Understanding of the principles behind engineering and architectural drawing release procedures.
• Proficiency in Microsoft Excel and Word.
• Understanding of AutoCAD and SolidWorks.
• Familiarity with the operation and use of scanners, plotters, optical disk, and electronic printing machines.
• Proficiency in using PCs and networks, including shared directories on all fileservers, and cognizance in the use of electronic file types released to Document Control.
• Understanding of configuration management and related troubleshooting.
• Capability to provide training in utilized systems to a variety of clientele.
• Strong customer service skills.
• Ability to perform technical research.
• Strong organizational skills.

Additional Qualifications

• Experience with PDM Systems (EDMS) or similar systems.
• Experience operating large format plotters.

Required Education

• AA/BA/BS degree or equivalent work experience equivalent to a minimum of 3 years.

Preferred Education

• Bachelor of Science degree in Engineering.
• Professional SolidWorks training.
• Professional AutoCAD training.

Additional Details

The position requires a significant amount of time spent in a sitting position conducting workstation operation. Job duties are typically performed in a climate-controlled office environment, but some tasks may require visits or work in outside environments. This may include climbing stairs, ladders, working in low-light areas, and accessing confined spaces.

This role is based in Anaheim, a vibrant city in Southern California known for its theme parks, sports teams, and entertainment venues. Interviews for this role will be conducted onsite.
